We are seeking a passionate and experienced Senior Administrator to join our team and support our philanthropic endeavours.

Position purpose

Our ideal candidate will provide comprehensive, high-level administrative assistance to our Foundation Team. This role requires absolute discretion, a proactive approach to addressing diverse and dynamic needs, and a commitment to constant learning. Confident and personable, you will have a passion for creating change for good and will support the team in connecting with the global philanthropic community.

Key responsibilities:

  • Provide administrative support, including diary and inbox management, to the Foundation Team.
  • Schedule and coordinate calendar appointments, arrange meetings and gatherings, and coordinate often complex travel arrangements.
  • Draft, edit, and distribute correspondence, reports, presentations, and meeting materials.
  • Act as the primary point of contact for internal and external stakeholders, handling enquiries professionally and promptly.
  • Monitor and support project timelines and deliverables.
  • Process invoices and expenses accurately and in a timely manner.
  • Ensure the philanthropic budget is accurate and maintained for reporting and evaluation.
  • Contribute ideas and solutions to improve processes and organisational health within the Foundation.

Attributes, qualifications and experience:

  • Passion for causes that help build a thriving future for nature and people.
  • Minimum five years relevant experience in a Senior Business Administration role, including stakeholder liaison and relationship management, database management, budgetary maintenance, and customer service. A degree or other relevant qualifications is desirable but not essential.
  • Exceptional time management and organisational skills together with resourcefulness, creativity and initiative to manage multiple and overlapping priorities under broad direction.
  • A high level of proficiency with the Microsoft Office suite and a demonstrated desire and ability to utilise new digital systems (eg. grant management systems).
  • Drive, professionalism and a focus on achieving outcomes.
  • Ability to build and maintain positive and collaborative relationships with many external partner organisations and staff. Experience working with or alongside non-profit organisations is desirable but not essential.
