SUPPORT OFFICER
The Public Service Association of NSW represents over 40,000 employees in diverse roles across NSW Government departments, state owned corporations, schools, universities and TAFE.
The Association is seeking a highly motivated, confident, independent person to work as a Support Officer in one of our industrial teams. The successful applicant will be able to multi-task, prioritise workload and work with minimal supervision.
Position Purpose
Support Officers are allocated by the General Secretary to particular areas of work within the Association and are responsible to the General Secretary, through the Manager, for the performance of a wide range of administrative and secretarial activities for the efficient functioning of the Teams, to facilitate the effective operation of the Association. When required, a Support Officer may be reallocated from one Team to another as requested by the General Secretary.
JOB FUNCTIONS
- Provides secretarial and administrative support to the Manager and Team, including managing the diary and paperwork of the Manager.
- Taking minutes of meetings and preparation.
- Schedule, organise and coordinate meetings, events, appointments or teleconferences for the team.
- Supports the Manager in ensuring the smooth daily operations of the team.
- Liaise with other Teams within the organisation.
- Builds and maintains a positive work environment.
- Works with the relevant teams to ensure that information on the membership system is accurate.
- Prepares and processes incoming and outgoing correspondence, including the drafting and preparation of straightforward and more complex correspondence.
- Document/file preparation and management.
- Web searches, database manipulation and research as required.
- Incoming and outgoing mail processing.
- Record management and data integrity.
- Other related duties as directed.
Requirements (Knowledge, Skills and Abilities)
- Commitment to union principles.
- Demonstrated ability to understand and carry out complex oral and written directions, exercise initiative and independent judgment
- Understanding/ability to learn the systems and processes of the State and Federal Industrial Relations systems
- Ability to undertake basic research
- PC skills, in particular Microsoft Word, Excel and Acrobat.
- Demonstrated ability to quickly learn new computer programs
- Demonstrated ability to prioritise, plan and manage competing demands
- Good verbal and written communication skills
- Ability to work as a team member
