Role Purpose
The primary purpose of this role is to provide excellent customer service at reception and high level operational and administration support to the organisation. This position is a part of QPASTT Support Team which integrates several functions comprising human resources, facilities, finance administration, information technology, stakeholder management and administration support to CEOs.
The role within the team is located mainly in the QPASTT head office in Woolloongabba Brisbane and may at times be required to work in our Logan based offices.

You will have an understanding about the recovery of refugee survivors of torture and trauma and be able to provide respectful and high standard of service and support to our clients.
You will be able to work alongside team members and engage in collaborative practice with colleagues. You will work towards achieving the common goals for the team whilst being accountable for your individual role in achieving these goals.

The Support team is integral in realising the strategic goals for QPASTT and ensuring that our processes and systems are fit for the future. You will be agile, adaptive and willing to learn and exercise new skills to provide welcome to all QPASTT clients and to support all QPASTT staff to access organisational systems and processes.
The Support team is very diverse and you would feel comfortable working with staff from a range of cultural and religious backgrounds as well as lived experiences.
Responsibilities
Shared Responsibilities:
Ensure professional, efficient and respectful reception support:
- Respond to telephone calls in accordance with caller’s request and appropriately disseminate information and divert calls to relevant staff,
- Respond to client, stakeholders and individual enquiries at reception and provide relevant assistance,
- Ensure that the reception and client waiting areas are kept tidy, accessible and welcoming at all times,
- Ensure that the counselling rooms are ready for counselling and resources are maintained in working condition
Shared day to day administration and operational support:
- Regularly monitor admin and fax mailboxes and distribute correspondence promptly and accurately
- Provide day to day support to staff in navigating booking systems for organisational resources (rooms, cars and other equipment),
- Register group registrations on QPASTT’s client database (NERO),
- Assist with data collection for reporting to the funding bodies (e.g. Redicase)
- Assist with administration tasks relating to recruitment, induction and onboarding as required.
- Assist with procurement of amenities and equipment as required
- Archival of client files following appropriate processes.
Other
- Support research and evaluation initiatives of the organisation,
- Actively contribute to the health and safety at QPASTT by being aware of the safety policies and procedures and consciously applying these every day to ensure the health and safety of our workplace,
- Other ad hoc tasks and project support as required.
Requirements
- More than three years’ experience in reception and administration roles.
- Excellent communication skills both written and verbal, with ability to liaise with a diverse range of stakeholders
- Excellent interpersonal skills, including the ability to work cross-culturally and as part of a team
- Deep appreciation of digital platforms and systems to enable the office to function in the 21st century environment, including high level of functional knowledge and experience in using Microsoft programs including Word, Excel, Outlook and Access
- High level of organisational skills – planning, coordinating, priority setting, task management and follow through
- The ability to work autonomously as well as under direction, using initiative and problem solving skills
- Knowledge and principles of records management
- Desirable - Knowledge and understanding of clients and issues associated with people from refugee and asylum seeker background
Conditions of Employment
- Current Positive Notice Blue Card and provision of an annual federal police check.
- Current Queensland C Class driver’s licence.
- The period of probation will be six months.
