The Rites of Passage Institute is seeking a highly capable, organised, friendly and energetic person to join our vibrant team in the role of Office Administrator and Event Co-ordinator.

We are a social enterprise, founded by Dr Arne Rubinstein over 25 years ago. Our work focuses on supporting the well-being of our youth who are transitioning into young adults, utilising the Ancient Wisdom inherent in traditional and indigenous Rites of Passage processes, to navigate this transition in a healthy way. Our programs also support the children’s parents or mentors understand what changes are required for them, in order to support their child in the best possible way.

The role that we are requiring to be filled, will be working as the office administrator and event co-ordinator, supporting and reporting to the CEO as well as the wider business. Tasks will cover various EA administrative items, organising the various camps we run annually with all the logistics involved, and providing office administrative support to the schools program.

Who we are looking for:

You will have experience working in an administrative capacity, managing multiple moving parts of a business. Preferably with event management experience, understanding the logistics around the pre-event process, including the management of all the participants leading up to the event. You will enjoy working in a busy, dynamic environment, where you have ownership of your roles and responsibilities as well as your time, while still being an integral part of a wider team. You won’t be easily overwhelmed, and you will be flexible and excited to consider how to offer your unique skills, gifts and talents to our growing social enterprise.

What you will be doing:

Event co-ordinator:

  • Managing all the logistics regarding the camps and trainings that we offer, including the participants who are attending
  • Manage our various community programs
  • Co-ordinate facilitator upskill programs for both camps and schools
  • Manage Dr Arne Rubinsteins Public Speaking roster

Office Administrator:

  • Manage all incoming enquiries via phone/email
  • Manage the website updates with dates/information for the various camps/training
  • Track payments, raise invoices, arrange payment plans and monitor these
  • Newsletter mailouts, website updates, courier and mail logistics

EA Tasks for the CEO and GM:

  • Calendar management, book flights, travel, hotels, cars etc
  • Any other additional EA duties

Essential

  • Proven track record in administration, EA, logistics or office manager roles
  • Strong verbal and written communication skills and professional presentation
  • Advanced organisational skills with the ability to handle multiple assignments
  • Strong IT skills and familiarity with Cloud-based collaborative work processes and project management software
  • Pro-active and is able to work unsupervised

At The Rites of Passage Institute, we are committed to creating a self-managing team culture. We are open to exploring the details of this role with the right candidate. As a rule of thumb, you can expect a flexi-time environment, with your location being based preferably in the Northern Rivers of NSW. There will be an office available to work from in Mullumbimby, or you can select to work from home.
