South Australian Native Title Services (SANTS) is the Native Title Service Provider for South Australia. We work with native title claimants and holders to provide native title services in our state. We are looking for a Legal Secretary to work with our existing Legal Team to provide legal services to South Australian Aboriginal communities.
The role will report to our Principal Legal Officer and duties include:
- Provide administrative and secretarial support including word processing, minute taking, maintenance of files, correspondence and photocopying with appropriate mannerisms and customer services
- Taking detailed telephone messages, screening of incoming calls and answering requests, if possible.
- Maintain appointment diaries and schedules.
- Prepare and file documents in the Federal Court or other jurisdictions.
- Organise meetings with legal representatives and other relevant external parties.
- Respond to enquiries from clients, other agencies and the public via email, telephone or in writing.
- Maintain database(s) of client address details and other relevant requirements.
- Maintain database of briefing documentation for Legal Officers
- Opening and maintaining documents for files in Content Manager. Archiving files using Content Manager.
- Preparing and lodging relevant ORIC forms for PBC’s.
- Preparing invoices for relevant PBC’s.
- Responding to Future Act notices.
Based in the Adelaide CBD but with some intra and interstate travel, to be successful you will need:
- Sound or developing experience in a similar role with exceptional ability to provide a legal secretarial service within the context of a law firm.
- Relevant secretarial qualifications
- Proven highly developed administrative and organisational skills
- Demonstrated communication skills with the ability to establish and maintain relationships with a broad range of people and to anticipate needs and act upon them proactively.
- Highly developed customer service skills with proven experience in their application to internal and external customers.
- Proven organisational and time management skills with demonstrated ability to work autonomously, under pressure and within stringent timeframes
- Demonstrated proficiency in the application of the Microsoft Office suite.
- An interest in Aboriginal cultures and working in partnership in the field of Native Title is an important element of all roles at SANTS.
- Knowledge of and commitment to the principles and practices of Equal Employment Opportunity and Workplace Health and Safety.
- A current South Australian Drivers Licence.
