- Seeking an Office Manager + Administration Officer

- Hours: part-time, ideally 4 half days a week (Mon-Thurs)
- Reports directly to the CEO of the Siddle Family Office

The Siddle Family Office (SFO) is a recently established family office based in Sydney. SFO has oversight of the family’s investment activities and it’s philanthropic arm (The Siddle Family Foundation “SFF”). The Siddle Family are values driven and have a focus on deploying resources for positive social and environmental outcomes through both investing and philanthropy.
SFO and SFF are looking for an enthusiastic, motivated, and organised person who is passionate about supporting the establishment of new organisations effectively and efficiently. This role would be split into two primary activities, office management for the new office, including supporting subtenants, and operational/administrative support for both SFO and SFF.
The ideal candidate would be a values aligned individual who enjoys a fast paced environment and responsibility for a variety of tasks. They would be practiced at using their initiative to solve problems and triage issues before they require escalation. This role would provide opportunities to take on more senior responsibilities if the successful candidate demonstrated they are willing and capable. Additional opportunities may also be available through sub-tenants should this be of interest.
The family has worked in a relatively relaxed and informal way previously and is looking to professionalise their family operations, without losing the sense of fun and family.
Key Responsibilities
- Manage the day-to-day office activities, including but not limited to reception, catering, security, maintenance, cleaning etc
- Oversee the IT systems in partnership with the external IT provider and triage all office related IT issues
- Develop office management systems such as file management, document storage, room bookings, desk hiring etc.
- Develop internal policies and procedures
- Supporting sub-tenants with light touch office administration
- Liaising with and coordinating meetings for other family members, including occasional concierge services
- Project management support for projects for both SFO and SFF
- Travel and logistics for both SFO and SFF teams and Directors
Selection Criteria
In addition to the selection criteria below, the ideal candidate would be able to demonstrate their IT capabilities and willingness to lead and manage an IT transition.
This is a pre-requisite for working with SFO.
Knowledge, Skills, and Experience
- Strong Interpersonal Skills: Ability to maintain positive, warm, and professional relationships both internally and externally, with diverse stakeholders. (illustration)
- High Level Communication Skills: Excellent written and verbal communication skills alongside the ability to listen thoughtfully and summarise complex information.
- Excellent Computer Skills: High level skills and experience with Microsoft Office (Word, Outlook, Excel, and PowerPoint), and confidence to learn new skills and new programs where required.
- Social Media Skills: experience in managing and maintaining social media channels and websites
- Strong Management and Organising Skills: Ability to implement and maintain solid administrative processes and systems for the smooth operation of the Family Office and Foundation (with a focus of implementing systems for sustainable organisational growth). The ability to respond thoughtfully to multiple and competing demands, prioritise work, and manage multiple projects across two small organisations.
- Motivated and independent: The ability to work in a small team, with minimal supervision, and a high degree of autonomy, confidence, and independence. The ability to manage up.
- Integrity: Demonstrated experience working in environments which have required a high degree of integrity, judgement, confidentiality, sensitivity, and thoughtfulness.
- Qualifications and Experience: Experience of at least three years in administrative/operational positions or equivalent.
- The unrestricted right to work in Australia.
