  • SUPERVISOR/MANAGER: Executive Director
  • Part-time, 3 days per week (Tuesdays, Wednesdays and Fridays)
  • Contract role until December 2025
  • This is primarily a work from home role, with 1 day per week (Wednesdays) in our office located in Silverwater, NSW.

ROLE PURPOSE:

The purpose of this position is to support the Science Teachers’ Association program of events, projects and professional learning initiatives. You will provide project management, administrative support and events coordination across the organisation’s face-to-face and online activities, including a program of online courses, network meetings, conferences, as well as the Young Scientist Program.

RESPONSIBILITIES:

Project Management and Coordination

  • Project manage a number of STANSW’s online networks, courses, and events, and ensure milestones are met (some out of hours / flexible work will be required)
  • Manage volunteer project committees and schedule committee meetings
  • Secure venues, technology and equipment as required
  • Manage event logistics and volunteers
  • Acts as secretariat at committee meetings
  • Manage administrative tasks relating to the Young Scientist Awards, as directed by the Executive Director or Young Scientist Committee
  • Coordinate the Young Scientist Awards Night, including coordination with the event venue, participants and sponsors

Conference Administration

  • Attend and provide administrative assistance with STANSW’s conference
  • Coordinate the set up and administration of events on our cloud-based - platforms (eg. CVent, IMIS) and apps.
  • Coordinate and monitor registrations, and the communications to event delegates,
  • Assist the Website and Administration officer to process event certificates and accreditation

Administration

  • Provide administrative support across the organisation’s activities, as directed by the Executive Director
  • Maintain accurate data in the organisation’s database, making changes as necessary
  • Monitor and answer email and telephone enquires
  • Provide leave coverage for the roles of Project Manager and Website & Administration officer

SKILLS & EXPERIENCE

To achieve the position purpose and outcomes the position holder will need to have:

  • 2-5 Years of Project of Evenet Management / Coordination experience is essential
  • Ability to thrive and learn in a fast-paced project-based role
  • Excellent written and verbal communication skills
  • Demonstrated administrative skill
  • Strong attention to detail, time management and organisational skills
  • Ability to work with technology and learn new systems quickly and efficiently
  • Ability to work proactively as a collaborative team member

Desirable

  • Knowledge of MS Office and events / membership software (e.g. CVent)
