THE HOUSE OF WELCOME/ HOUSE OF WELCOME CATERING
The House of Welcome (HoW) provides support for people seeking asylum and refugees living in the Australian community. The House of Welcome welcomes, shelters and empowers people seeking asylum, regardless of their age, gender, sexuality, nationality or religion. We provide client-centred holistic supports that nurture hope, advocate for justice and promote self-reliance, while acknowledging the dignity and rights of each person.
HoW is a service of St Francis Social Services (SFSS). Our vision is for a society which recognises the dignity, equality, human rights and humanity of all people. We recognise that people seeking asylum are in special need of support, having been displaced from their homes through war, conflict, persecution and suffering, and potentially having been subjected to immigration detention.
Clients come to the HoW via word of mouth, referral from another organisation or via other clients. HoW currently provides short-medium term accommodation and housing for approximately 95 refugees and people seeking asylum in 18 properties. In addition to housing, staff and volunteers offer a variety of support services such as casework, financial assistance, foodbank, referrals, advocacy and employment programs.
House of Welcome Catering reduces barriers for people seeking asylum and refugees to access work in Australia by providing traineeships, combining impact, wraparound support, and inspiring flavours.
HoW plays a significant role in providing client-based advocacy and support, working with partners and stakeholders.
The House of Welcome aims to:
- Provide a place of welcome, respect and empowerment for people seeking asylum.
- Assist people seeking asylum in their transition to life in Australia and to develop their capacity to engage confidently in various aspects of life in Australia.
- Promote the rights of people seeking asylum and accompany them as they seek to have their status recognised.
- Enable them to become full and independent members of the Australian community.

POSITION DESCRIPTION
Sales & Administration Assistant
As a Sales & Administration Assistant, you will work closely with customers and the HoW catering team, handling inquiries and quotes, processing orders, invoicing and managing essential sales and administrative tasks. The role will focus primarily on the following key areas:
Customer Order Support:
- Manage customer orders across multiple accounts in a timely and efficient manner, ensuring high-quality service delivery. Develop customer relationships where appropriate in collaboration with the Social Enterprise Lead.
Sales Order Management & Process Development:
- Oversee the processing of customer orders, in collaboration with the Head Chef, for all accounts.
- Create quotes, delivery schedules and invoicing.
- Continuously provide best-in-class customer service across various sales channels.
- Provide backup support for team members during busy periods, annual leave or absences, ensuring continuity in customer service levels.
Business Administration & Reporting:
- Assist the HoW Catering team with ad-hoc reporting and analysis, especially during key times such as month-end and budget planning periods.
- Collect and share field sales information, including photos and competitor insights, to support business decisions.
- Set up new accounts and businesses as directed by accounts.
General Administration:
- Provide clerical and administrative support to the team, including filing, record management, and other duties as required.
- Maintain an organised and professional work environment.
- Assist with any ad-hoc duties as assigned by the catering team.
- Ensure timely reporting to the Social Enterprise Lead.
KEY RESPONSIBILITIES
- Customer Inquiry Management: Respond to inbound customer inquiries via phone, email, or in person, providing menu information and recommendations.
- Quotations & Order Processing: Prepare and follow up on sales quotations, enter orders into the system, and ensure accurate and timely processing and articulation to the operational team.
- Sales Support: Collaborate with the catering team by providing necessary product information, customer data, and administrative support to facilitate successful sales efforts.
- Customer Relationship Management: Act as a first point of contact for customers, addressing inquiries, resolving issues, and ensuring customer satisfaction. Build and maintain relationships with customers, offering technical advice and addressing their needs promptly. Provide regular updates on order statuses and deliveries as required.
- Order Documentation and Processing: Ensure all sales orders, invoices, and documentation are processed accurately in the company’s CRM and XERO.
- Invoicing & Payment: Assist with generating and sending invoices to customers and follow up on payments when necessary.
- Filing & Record Keeping: Organise and maintain sales-related paperwork, ensuring it is properly filed for easy access by the team.
- Customer Issues Resolution: Assist in resolving any customer complaints, discrepancies, or issues related to orders, invoicing, or product delivery.
- Collaboration: Work closely with the commercial kitchen team, finance, and operations teams to align sales strategies and initiatives.
- Data Management, Entry and Reporting: Maintain and update customer databases, sales records, and tracking systems to ensure accurate reporting and forecasting.
Selection Criteria
Essential criteria:
- Proven experience in a sales support or administrative role within the hospitality sector, social enterprise or associated industry.
- Strong organisational and multitasking skills with the ability to prioritise tasks effectively.
- Excellent communication skills.
- Ability to collaborate and interact with the team, management, and external customers and stakeholders.
- Strong attention to details, team player, and problem-solving abilities.
Desirable criteria:
- Understanding of issues related to the situation experienced by refugees and people seeking asylum and a commitment to trauma-informed practices.
- Tertiary qualifications in business highly regarded.
- Demonstrated ability to work sensitively in a culturally and linguistically diverse environment.
- A passion for social justice and social impact.
- Xero Accounting and proficiency with 365 products.
