About the Role

The Operations Manager plays a pivotal role in ensuring SurfAid’s organisational sustainability. This position supports teams across the organisation, enabling them to meet their objectives while overseeing the smooth operation of day-to-day activities. Key responsibilities include leading operational planning, compliance, knowledge and information management, and IT systems. The role also supports program delivery, policy development, human resources, and organisational reporting. Collaborating closely with SurfAid staff and Boards, the Operations Manager fosters a culture of collaboration, continuous improvement, and transparency throughout the organisation.

Responsibilities - Key areas of focus %

Operations Support - 70%

  • Manage organisational compliance requirements across the organisation.
  • Oversee the organisational calendar.
  • Lead knowledge and information management initiatives.
  • Develop and implement the IT security and management plan across the organisation.
  • Coordinate organisational training programs.
  • Assist the CEO with risk management and reporting.
  • Support the delivery of organisational strategy, work planning, reporting, and evaluation.
  • Provide support for human resource functions, including recruitment, training and development, onboarding, and induction.
  • Assist in delivering the organisational Monitoring and Evaluation Framework.
  • Manage organisational travel logistics.

Governance Support -15%

  • Provide Board support, including reporting, meeting documentation, logistics, and other tasks as needed.

Other tasks as required -15%

  • Support the CEO and teams with various tasks, including administrative support.

Selection Criteria: Qualifications & Experience

Qualifications

  • Tertiary qualifications in a relevant area such as Administration or Management, or equivalent experience.

Experience

  • Extensive experience in providing high-level organisational support.
  • Proven ability to develop and implement organisational processes and procedures.
  • Demonstrated experience managing multiple tasks, meeting deadlines, and overseeing workflows.
  • Ability to work effectively both independently and as part of a team.
  • Strong written communication skills, with experience tailoring formal and informal communication for diverse audiences.

Essential Skills

  • Highly developed interpersonal skills.
  • Proficiency in IT systems and tools.
  • Adaptable and responsive to the dynamic environment of a small organisation.

Desirable

  • Experience working for a non-governmental organisation (NGO).
  • An interest in international development.

Job Type

The role is a part time role at a 0.8 loading on a one year contract with the potential to extend.

Location

The role is predominantly work from home with regular visits to SurfAid's Alexandria office.
