Role summary & key responsibilities

This role oversees the budgetary and financial management of Sustain. Responsibilities include the following functions, but not limited to:

Financial Management and Reporting

  • Oversee and support the organisation's day-to-day financial operations, including accounts payable/receivable, staff reimbursements and payroll
  • Prepare monthly financial accounts, including identifying and posting relevant month-end adjustment
  • Manage the preparation of annual financial statements in collaboration with external auditors
  • Monitor and manage the organisation’s cash flow and investment accounts

Budgeting and Planning

  • Lead the annual budgeting process, including collaboration with relevant team members
  • Monitor monthly financial performance against budget and support leadership to address material variances
  • Provide financial analysis and advice to support decision-making
  • Identify risks and opportunities to enhance financial sustainability

Compliance and Risk Management

  • Support the governance of the organisation by preparing financial reports and presenting to board/committee meetings as required
  • Ensure compliance with all regulatory requirements, including the Australian Charities and Not-for-profits Commission (ACNC), ATO, and Fair Work standards
  • Oversee the preparation and lodgement of BAS, PAYG, and other statutory returns
  • Maintain appropriate internal controls and financial policies

Grant and Funding Management

  • Manage the financial aspects of grant applications, including budget preparation and financial acquittals
  • Monitor grant expenditures to ensure alignment with funding agreements

Team Leadership and Collaboration

  • Work collaboratively with relevant team members to ensure financial processes are understood and implemented effectively

Required skills and experience

Essential

  • Extensive financial management and budgeting experience and expertise, including proficiency in accounting software (e.g., QBO, Xero)
  • Bachelor and/or professional qualification in accounting
  • Strong verbal and written communication skills
  • Good analytical and problem-solving skills
  • Ability to work under pressure
  • Excellent attention to detail
  • Self-motivating - ability to work individually and as part of a small team
  • Strong IT skills including good knowledge of standard Office software and online collaboration tools such as Asana, Slack, Google Suite, etc

Desirable

  • CPA or CA qualification
  • Familiarity with / experiencing working in the not-for-profit sector
  • Knowledge of and experience working in the community food sector and/or not-for-profit sector.
  • Experience in business development and strategic planning

Reporting and working relationships

  • This position reports directly to the Executive Director and will develop strong, collaborative working relationships with other Sustain staff and Board members.

Staff performance and development

  • Sustain staff may undertake allocated duties not specifically mentioned in their position description but within the capacity, qualifications and experience normally expected from persons occupying positions at a similar level. This provides opportunities for staff to develop new skills and expertise.
  • Performance targets and expectations will be negotiated at the beginning of the contract as well as when undertaking new project responsibilities. A 6-monthly review and annual performance review will provide opportunities to monitor progress and discuss performance and development needs. Where budgets allow, staff will be supported to develop skills and knowledge relevant to the position through attendance at workshops/events and/or participation in training activities.

Salary, benefits and contract duration

Contract: Part-time 12-month contract (0.4 FTE). Possibility of contract extension and increase in FTE allocation subject to performance and availability of funding (3-month probationary period).

Hours: To be negotiated and align with work patterns of key team members.

Rate: $80,000 - $85,000 per annum pro rata (0.4 FTE), plus 11.5% superannuation. Salary packaging up to $15,900 pa (pro rata) for general living expenses.

Place of work: Preston (with flexibility to work from home). Must be available to attend in-person meetings and activities in and around Melbourne.
