The Tasmanian Aboriginal Legal Service (TALS) has a new opportunity for an Executive Assistant to join our team.
TALS specialises in providing culturally appropriate legal assistance, advice, and support in criminal, civil, and family law to Aboriginal and Torres Strait Islander people living in Tasmania. We also influence policy, law reform and operate a number of programs in the justice sector.

The Role
The Executive Assistant (EA) provides high-level administrative and operational support to the TALS’ Chief Executive Officer and Board, ensuring efficient functioning of their day-to-day activities. As a critical liaison between the executive team and internal/ external stakeholders, the EA will manage schedules, prepare executive-level correspondence, manage complex administrative functions, and anticipate the needs of executives to allow them to focus on high-level decision-making.
As a trusted advisor, the EA will offer strategic recommendations and solutions while handling sensitive information with discretion and professionalism.
What we are looking for
The Executive Assistant has a broad scope, and you can expect that no 2 days will be the same.
We are looking for someone with:
- Experience in handling confidential information with professionalism, integrity, and discretion that contributes to a positive workplace culture.
- The ability to manage multiple tasks and priorities effectively, ensuring all deliverables are met on time and outputs are of a high standard.
- Proven stakeholder engagement skills, including building effective relationships with a range of partners.
- Experience in preparing executive-level documentation, events, and meetings.
- Understanding of Aboriginal communities in Tasmania and a commitment to progress action towards improved justice and respect for Aboriginal and Torres Strait Islander peoples.
Duties and responsibilities
Executive Support and Communication
- Manage and prioritise executive schedules including meetings, events, appointments, and travel arrangements.
- Organise, manage, prepare, and review executive-level documents across a broad range of functions, and support with reporting requirements.
- Be a trusted liaison between TALS executive team and board with internal/ external stakeholders, and handle sensitive information with professionalism and discretion.
- Problem-solving, project coordination, continuous improvement of internal processes, and contributing to the overall success of the organisation.
- Demonstrating professionalism, transparency, and actively contributing to a positive workplace culture.
- Draft, proofread, and edit communications on behalf of the executive team.
Strategic Coordination and Project Management
- Assist in the development and execution of strategic plans and initiatives.
- Manage multi-functional projects including tracking progress against timelines and deliverables.
- Prepare high-level documentation to support decision-making by the executive team, including tracking progress against plans, projects, and reporting requirements.
- Support the executive team in the development and presentation of information for a wide variety of internal and external stakeholders.
Meeting, Event, and Travel Management
- Organise, coordinate, and execute meetings, conferences, and events, including logistics and materials.
- Take meeting minutes, track action items, and ensure follow-through.
- Manage travel arrangements, including developing itineraries, transportation, accommodation, and event attendance.
Administrative and Operational Support
- Oversee office supplies, equipment, and general office functions.
- Support executive team by assisting in onboarding and induction as needed.
- Implement process improvements to ensure smooth day-to-day operations across the organisation.
- Perform general administrative duties as required by TALS executive team.
Other Responsibilities
- Maintain a high level of knowledge and understanding of human rights and justice issues impacting Aboriginal and Torres Strait Islander peoples in Tasmania.
- Perform other reasonable duties as directed.
- Office management, including supplies, inventory, and maintenance.

Requirements
- Qualification or experience in a related area where high-level administrative support, sound decision-making, and exceptional communication skills have been demonstrated.
- Provision of a national police check.
- A current registration to work with vulnerable people.
Travel will occur across Tasmania.
