As a Program Coordinator, you’ll play a vital role in the seamless operation of our Tomorrow Man and Tomorrow Woman programs. You’ll be the go-to for program inquiries, nurture meaningful relationships with stakeholders, and ensure our CRM (HubSpot) stays organised and up-to-date. In this dynamic role, you’ll coordinate schedules, travel arrangements, and administrative requirements while collaborating with our national team to drive positive impact. This is a full-time, hybrid role and we're open to meeting candidates based in either Melbourne or Sydney, where our teams are located.

RESPONSIBILITIES

  • Manage inbound and outbound communications with schools, clubs, and organisations to build and maintain partnerships.
  • Conduct discovery calls to align programs with customer needs and support school relationships.
  • Ensure seamless program execution through pre-brief calls and coordination.
  • Maintain accurate and up-to-date customer records in HubSpot CRM for reporting and analysis.
  • Prepare data-driven reports to inform stakeholder decision-making.
  • Coordinate program schedules, facilitator availability, and travel logistics.
  • Manage program requirements, including forms, clearances, and evaluation data collection.
  • Support event execution by preparing materials, media kits, and registrations.
  • Handle administrative and operational tasks to support team operations.
  • Contribute positively to the organisation's culture and teamwork.

IDEALLY YOU HAVE

  • Previous experience in program or project management, or in a team support and coordination role.
  • Proven ability to work effectively with a diverse range of stakeholders, particularly within schools and community organisations.
  • Strong proficiency in G Suite, including Gmail, Google Drive, and Google Calendar.
  • Experience with CRM systems, with knowledge of HubSpot considered an advantage.
  • Proficient in using Zoom for virtual meetings and collaborations.
  • Possession of a valid Working with Children Check (or willingness to obtain one).
