What are we looking for?

Are you a highly organised, proactive professional ready to make a difference in the exciting space of Treaty in Victoria? This is your chance to step into a dynamic and varied role where no two days are the same! As the Executive Assistant to the CEO of the Treaty Authority, you’ll be responsible for managing the CEO’s schedule, coordinating key meetings, preparing critical correspondence, and handling travel arrangements.

You’ll also provide essential secretariat support for governance and leadership meetings – by setting agendas, taking minutes, maintaining action registers, and preparing key reports.

Working closely with the Strategic Advisor and a small but highly effective coordination team, you’ll be instrumental in ensuring everything runs smoothly to help the organisation support a Treaty process that promotes equality for First Peoples and upholds their self-determination. What you need to succeed:

  • Manage their schedule, emails, and key correspondence to keep the CEO one step ahead.
  • Plan and coordinate high-level meetings, events, and travel.
  • Be the CEO’s trusted point of contact, handling sensitive matters with professionalism.
  • Drive engagement—support staff meetings and team-building initiatives.
  • Play a key role in supporting critical decision-making forums—prepare agendas, take minutes, and track actions.
  • Ensure smooth governance processes and compile reports that shape organisational progress by optimising workflows and enhancing efficiency across the Treaty Authority.
  • Step in to provide general office support when needed.

About the Treaty Authority

The Treaty Authority is an independent entity with a mandate to facilitate the formation of treaties between the State of Victoria and First Peoples in Victoria.

The Treaty Authority’s work is grounded in Aboriginal culture, lore and law and led collectively by a panel of five Members committed to Aboriginal self-determination and empowerment. It engages with a broad cross-section of stakeholders including the State of Victoria, the First Peoples’ Assembly and Traditional Owners in Victoria.

The objects of the Treaty Authority’s work are to:

  • Facilitate the journey towards reconciliation, mutual respect and tolerance between First Peoples and other people of the State and to
  • Maintain, promote and advance the self-determination and empowerment, culture and human rights of First Peoples.

What you’ll bring

  • Proven Experience – A strong background as an Executive Assistant, supporting senior leaders and managing complex schedules, travel, and communications.
  • Governance Expertise – Skilled in secretariat support for board and governance meetings, including minute-taking, agenda preparation, and decision tracking.
  • Organisational Excellence – Exceptional time management, the ability to juggle multiple priorities and a proactive approach to problem-solving.
  • Communication & Stakeholder Management – Outstanding verbal and written communication skills, with the ability to build trusted relationships across all levels with First Peoples and community
  • Tech-savvy – Advanced proficiency in Microsoft Office, Outlook, and SharePoint (preferred).
  • Adaptability & Resilience – Thrives in a fast-paced environment, stays calm under pressure, and remains flexible to shifting priorities.
  • Values-Driven – Passionate about driving positive change, for First Peoples, committed to anti-racism, and dedicated to fostering an inclusive and purpose-led workplace.
  • Integrity & Discretion – Handles sensitive information with professionalism and confidentiality.
