This administrative role is perfect for someone with strong Microsoft Office skills, particularly in using Outlook for scheduling. The role also requires some finance experience, as you’ll be responsible for processing invoices and purchase orders. With tasks such as minute-taking for meetings and general administrative duties, we’re looking for an all-rounder with exceptional attention to detail and, most importantly, a great sense of humour! Please note this role will require attendance 5 days per week however, there may be occasions when wfh can be facilitated.

About the Role

As the Asset Officer - South Coast, you’ll play a pivotal role in ensuring smooth operations and exceptional service delivery. Your key responsibilities include:

Work Order Management:

  • Accept and triage work requests via CMMS and phone.
  • Assign work orders to maintenance staff or contractors.
  • Balance workloads across property staff and contractors.
  • Follow up on work orders to ensure timely and professional completion.

Administrative Support:

  • Maintain up-to-date electronic filing systems for compliance and legislative requirements.
  • Manage contractor systems, SharePoint, and other document control platforms.
  • Provide KPI performance reports for the local Asset Management team.

Coordination and Compliance:

  • Participate in Uniting’s policy and process implementation to enhance organisational efficiency.
  • Ensure adherence to health, safety, and wellbeing management systems.
  • Provide backup support across multiple campuses when required.

About You

Qualifications:

  • Higher School Certificate or equivalent experience.

Your Experience Ticks the Following Boxes:

  • 5+ years of experience in a property or maintenance environment.
  • Strong knowledge of contractor management and WHS requirements.
  • Excellent computer skills, particularly with Microsoft Office and Outlook.
  • Capacity to prioritise in a dynamic operational environment.
  • A customer focus with excellent written and verbal communication skills.
  • A demonstrated passion for social change and contributing to an organisation of influence for the most disadvantaged.
  • Skilled at navigating a complex organisation, building relationships, and managing through influence rather than direct authority.

Even Better If You Have:

  • Experience in Aged Care and/or Retirement Living.
  • Knowledge of or experience with CMMS systems. (Computerised Maintenance Management System - software tool designed to manage and streamline maintenance operations for physical assets such as buildings, equipment and machinery ). 
  • Capacity to show flexibility and innovation in your approach.
