We're seeking a highly organised and proactive Executive Assistant to support the Director of Communities. This role is integral to the smooth running of the Director's office, providing high-level administrative support, ensuring effective communication, and coordinating daily activities. You’ll play a key role in building strong relationships across Uniting and contributing to the efficiency of the leadership team. 

Key Responsibilities 

• Calendar Management: Organise and maintain the Director's schedule, prioritising time-sensitive tasks, and managing appointments, meetings, and travel arrangements. 
• Communication Handling: Act as the primary contact for the Director, managing emails, correspondence, and information flow with accuracy, timeliness, and discretion. 
• Document Preparation: Draft, edit, and format reports, presentations, and newsletters.
• Meeting Coordination: Plan and manage meetings, including prepare agendas, materials, and minutes. Oversee logistics, follow up on action items and ensure effective outcomes. 
• Travel Arrangements: Coordinate itineraries, accommodations, and transport for the Director and occasionally for senior team members. 
• Data Management: Maintain and organise confidential files, prepare expense reports, and manage team-related data systems and processes. 
• Liaison Role: Facilitate task delegation and promote accountability within internal teams, ensuring smooth communication and follow-up. 
• Confidentiality: Handle sensitive information with utmost discretion and professionalism. 
• Technology Proficiency: Utilise office software and platforms (e.g., MS Word, PowerPoint, SharePoint, Excel) to streamline productivity & communication. 

Qualifications and Experience 

• Education: Bachelor's degree in a relevant field or equivalent experience. 

• Experience: 

  • Minimum 4 years of experience in executive-level administrative roles. 

  • Proven experience supporting Directors and Boards in complex organisations. 

  • Strong computer skills, particularly with Microsoft Office Suite and communication tools. 

  • Experience in event coordination and managing leadership activities. 

  • Ability to navigate organisational boundaries and foster relationships through influence.
