About the opportunity

The Faculty of Engineering are welcoming applications for an Executive Assistant & Committee Officer to join the Executive Services team to provide executive support services to the Faculty Executive and administrative support to key faculty committees including preparing documents, maintaining records, updating web materials, responding to queries, exploring matters and sourcing solutions.

Working within a small Executive Assistant team, this role will report to the Executive Assistant & Project Officer to the Dean. Within the EA team, this role will support the implementation of creative and innovative solutions to support the Faculty Executive. This position requires excellent organisational skills, attention to detail, discretion and ability to work in a highly professional manner.

Working closely with the Head, Executive Services, the successful candidate will be expected to manage a high volume of activity and prioritise matters brought to the Faculty Executive.

Your key responsibilities will be to:

  • Provide broad, high level professional executive support to the Executive and effectively manages the general day to day office operations and administration activity
  • Manage general administrative services and operational support for key faculty committees
  • Initiates and develops professional relationships with faculty administrative staff, senior officials and other internal stakeholders and contributes positively to the team environment
  • Develop and maintain relationships with key external stakeholders and ensures communications are dispersed in an appropriate manner ensuring confidentiality and quality of all correspondences
  • Manage the general day to day operations and administration activities for the Faculty Office
  • Build and maintain a general knowledge of services offered to staff and students by Schools, the Faculty, and the University to inform minute taking and provision of support to committees.

About you

  • An equivalent combination of relevant training and experience
  • Administrative experience in a tertiary organisation, working knowledge of academic institutions, structures, and the higher education sector
  • Experience in supporting committees, including preparing agenda, taking minutes, and maintaining action items, terms of references and memberships
  • Experience managing purchasing and invoicing
  • Two to four years executive assistance or administrative experience
  • Advanced computer skills with demonstrated experience in Microsoft Office Suite coupled with strong attention to detail
  • A bachelor's degree, diploma or certificate IV in a relevant field (desired).
