KEY RESPONSBILITIES
This role provides administrative and finance support for the State office, Portfolios, Directors, industry and specialist teams to ensure that the office works effectively and efficiently.
This role is required to undertake core administrative and finance work and will be a detail-oriented team player with great service delivery skills.
DUTIES
The duties of this position are as follows:
- Overseeing the general building and equipment maintenance issues for Union owned buildings in Victoria including but not limited to;
- Liaising with key stakeholders for repairs and maintenance
- Obtaining electricity readings from the roof monthly
- Liaising with tenants regarding maintenance, swipe access and lease renewals
- Swipe card access management & invoicing
- Oversee the Victoria directly employed cleaners and maintain, and order cleaner supplies as required
- Oversee the fleet management for the VIC State Office including but not limited to;
- Repairs and maintenance
- Pool car and carpark management
- Selling/buying of vehicles
- Vehicle inspections
- Database management
- Monitor and manage shared mailboxes
- Maintain and distribute equipment and merchandise with strict record keeping.
- Assist with mail-outs when required and regular liaising with postal and courier services and monthly reconciliations.
- General finance data entry and end of month reconciliation.
- Building rapport with members, suppliers and stakeholders
- Shows initiative and problem-solving capabilities
- Backup reception duties include meeting and greeting visitors, receiving and distributing parcels, coordinating incoming and outgoing mail, assist visitors signing in and out, monitoring general office email inbox, booking couriers and taxis when requested and other reception duties as directed.
- Support organising staff by completing photocopying tasks, scanning, data entry, typing, formatting, and collating documents including spread sheets and word processing.
- Assist with preparation for meetings and training including booking rooms, setting up meeting rooms and Zoom/Teams meetings, technology and organising catering.
- Assist with planning for Union events, training, meetings and conferences including booking off-site and onsite training facilities, transport, ordering, catering and other event logistics.
- Other Administration, building, fleet and finance tasks as requested.
KEY SELECTION CRITERIA
The skills required for this position are:
- Experience in finance and administration, preferably in a union, nonprofit, or membership-based organisation.
- Previous experience overseeing general office building and equipment maintenance preferable.
- Advanced telephone etiquette and face to face service.
- Excellent communication and customer service skills.
- Positive work attitude and time management.
- Proactive nature with initiative and drive for success.
- Experience with Outlook, Word and Excel.
- Excellent verbal and written communication skills.
- A commitment to the United Workers Union’s values.
RENUMERATION
Full-time office-based role working standard business hours.
Other entitlements include:
- 4 weeks annual leave
- An RDO per month
- 16% Superannuation
- 25 % Annual Leave Loading
