The Victorian Healthcare Association (VHA) is the peak body supporting Victoria’s public health services to deliver high-quality care.

Established in 1938, the VHA represents Victoria’s diverse public healthcare sector, including public hospitals, aged care and community health services. The VHA has over 115 member organisations, representing more than 95% of Victorian public healthcare services and a $22 billion industry in Victoria.

The VHA advocates on behalf of its members on sector-critical issues by engaging and influencing key decision-makers involved in policy development and system reform. The VHA regularly engages with Victorian Ministers, the Department of Health, the Department of Families, Fairness and Housing and other Victorian peak representative bodies on behalf of its members. ABOUT THE ROLE

We are seeking a skilled Executive Assistant and Board Secretary to join our team for an eight-month period to cover a leave of absence. Reporting directly to the CEO, this pivotal role is responsible for delivering high-level executive, secretarial, and administrative support to the CEO of the VHA. You will also support the broader activities of the VHA and the Australian Centre for Healthcare Governance (ACHG).

In addition, the role includes Board Secretariat duties, providing professional support to the VHA Board, ACHG Board, Community Health Australia Board (CHA), and all sub-committees.

This is a unique opportunity for a dedicated professional to contribute to the smooth operation of our organisation during this period.

KEY RESPONSIBILITIES

  • Provide high-level executive support to the CEO, including diary management, logistics, and stakeholder liaison.
  • Deliver professional secretariat services to the VHA Board, associated committees, and sub-committees.
  • Coordinate board meetings, elections, inductions, and ensure compliance with governance requirements.
  • Build and maintain strong relationships with stakeholders to facilitate seamless communication.
  • Manage policy, procedure, and document compliance, including board papers and reporting.

ABOUT YOU

You are an organised and proactive professional with at least five years’ proven experience in C-suite assistance and board secretariat duties and events.

Essential

  • Strong organisational skills with the ability to prioritise competing demands, meet deadlines, and adapt to changing circumstances.
  • Excellent written and verbal communication skills, including the ability to liaise effectively with stakeholders at all levels.
  • Demonstrated ability to work autonomously and with integrity, exercising sound judgment and initiative.
  • Strong collaboration skills, with a track record of fostering teamwork and overcoming barriers to information sharing.
  • Demonstrated commitment to providing exceptional customer service, ensuring a professional, responsive, and member-focused approach in all interactions.
  • Proficiency in utilising technology to maximise efficiency, including database management and Microsoft Office Suite.
  • A commitment to diversity, inclusion, and culturally informed practices.

Desirable

  • Experience in the not-for-profit or membership association sector.
  • Knowledge of health sector trends or advocacy.
