Wingate Avenue Community Centre is a busy, vibrant community centre that provides services, programs and activities to residents in Ascot Vale and surrounding suburbs. We’re looking for an experienced Bookkeeper, who has a minimum of three years’ experience. The position is located at the community centre, for a minimum of two-days a week.

The Position

The Bookkeeper will provide a robust and continuously improving financial administration to support the services, programs, events and activities at the centre.

Wingate Avenue Community Centre provides services to community members living in the Ascot Vale and surrounding area, with a priority for people experiencing vulnerabilities. Having sound organisation financial systems and processes is key to providing excellent services to community members, and so strong financial skills are required for this role.

Delivery of centre services will be guided by the centre’s core values of compassion, inclusiveness, diversity and quality.

  • Work Type: Part-Time, Fixed-Term for two years
  • Hours:15.2 hours per week (2 days a week), office based
  • Award: Neighbourhood Houses and Adult Community Education Centres Agreement 2016
  • Classification: Class II (b) Level 4, $43.70 per hour

The Workplace

Wingate Avenue Community Centre (Wingate Ave CC) was established in 1985 and is a busy, vibrant community- managed neighbourhood house, based on a state government housing estate in Ascot Vale.  The centre is a not for profit, incorporated association governed by a Committee of Management, made up of local community members that provide the governance structure and strategic direction for the centre’s management.

Wingate Ave CC provides multiple place-based services at the centre, including occasional childcare, accredited and pre-accredited courses and education programs, employment support services, community programs and activities, as well as co-located services including Moonee Valley Legal Service, and maternal child health nurse. The centre facilities include two computer labs, a commercial kitchen, a recently renovated 19 place childcare centre, five training rooms and a community shed.

The centre believes that providing place-based services is an integral part of a whole-of-centre approach to supporting individuals, in order to improve their quality of life, in ways that they chose. Wingate Ave CC strives to achieve this by providing programs that are relevant to our community, are accessible, and of outstanding quality.

Position Goal

The Bookkeeper will oversee the organisations financial data and compliance, using a continuous improvement approach to ensure that the financial operation of the centre provides community members the best opportunity to access centre services, programs, events and activities.  The Bookkeeper will:

  • Maintain accurate books on accounts payable and receivable, payroll, daily financial entries, monthly reconciliations, cash flow and budget oversight.
  • Maintain BAS, payroll and other taxes and levies.
  • Provide financial services in accordance with the centre’s mission and values.
  • Deliver services in accordance with the centre’s aims and objectives, as described in the Strategic Plan.

Role and Responsibilities

Financial Administration, including:

  • Manage organisations finances using MYOB.
  • Maintain day-to-day financial administration activities, including accounts payable, accounts receivable, and petty cash.
  • Processing fortnightly payroll.
  • Maintain accurate records of financial transactions, including verifying, allocating and posting transactions, maintaining general ledger.
  • Maintain monthly, quarterly and annual financial activities, including end of month account reconciliations, financial report preparation including monthly financial reports for the Committee of Management meetings, PAYG, BAS, superannuation and portable long service leave.
  • Assist with financial analysis and reporting activities for the organisation.
  • Support the annual audit processes through the preparation of standard reports as well as other custom reports as requested.
  • Assist in preparing and managing budgets.
  • Assist with funding acquittals and submissions.
  • Maintain all financial records and files as per the organisation policies, contract and legislative requirements.
  • Support the continuous improvement of financial processes and procedures 

Qualification Requirement

General features at this level require the application of knowledge and skills which are gained through qualifications and/or previous experience in a discipline: experience coordinating accredited courses, or transferrable skills from a similar role.

  • Minimum of Certification IV in Account and Bookkeeping.
  • Minimum three years’ experience as a bookkeeper.
