This role will be supporting all the aspects of People and Culture, particularly will bring extensive expertise in recruitment and onboarding, effectively collaborating with various teams throughout the recruitment and selection process. This role will be also supporting the Executive Leadership Team by providing timely administrative assistance and secretariat services to ensure efficient operations. support and secretariat services.

This is a permanent part-time position offering 30.4 hours per week. The successful candidate will have the flexibility to choose between working four 7.6-hour days per week, or five shorter days to complete the 30.4 hours

KEY RESPONSIBILITIES:

People and Culture Support

  • Coordinate all employment lifecycle processes including recruitment, onboarding, learning and development, performance management and offboarding.
  • Support the development and implementation of HR initiatives, policies, processes and systems to achieve the desired goals.
  • Undertake a range of recruitment and selection processes including advertising, managing applications, coordinating candidate information and interviews, preparation of interview documentation etc.
  • Develop and update supporting recruitment and selection materials including Position Descriptions and Interview Guides.
  • Uphold a high level of candidate care to all applicants and liaise with unsuccessful candidates to provide feedback where required.
  • Maintain accurate employee records and data according to policy and legal requirements.
  • Conduct pre-employment activities and deliver and facilitate an onboarding journey to new staff and ensure contracts, checks and certificates as required are completed by new starters prior to commencement.
  • Assist with the exit process for employees including arrange exit interviews, farewell cards and exit process completion follow up.
  • Assist with employee relations and employment-related matters.
  • Develop reports and provide admin support to the People and Culture manager where required.
  • Assist in the design and development of career pathways within the organisational structure.
  • Contribute to a collaborative team culture for staff and volunteers which is professional, productive, supportive and consistent with the WLSQ values and feminist principles.
  • Carry out any other tasks as requested within the People and Culture Team.

Executive and Secretariat Support

  • Provide best practice executive and administrative support.
  • Monitor designated in-boxes and escalate correspondence requiring urgent/priority attention.
  • Respond to administrative emails such as calendar invitations and requests for meetings from external stakeholders.
  • Manage the executive diary, including forward planning of all regular meetings.
  • Organise Board, sub committees and AGM or any other executive meetings and take meeting minutes and the distribution of minutes.
  • Support CEO/Director of Corporate Services with regular board reports, annual reports, corporate documents and/or compliance reporting as required.
  • Co-ordinate and produce executive correspondence including emails, memorandums, letters, reports, presentations, strategic planning documents in a timely manner.
  • Assisting in the preparation and review of corporate documents including policies and procedures as requested.
  • Organise bookings for ELT for seminars, industry events, conferences and arrange travel and accommodation as required.
  • Attend to visitors and organise catering for meetings as and when required.
  • Carry out any other tasks as requested by ELT members.

SKILLS AND CAPABILITIES:

  • Diploma, degree or professional certification in HR (or in the process of attaining one).
  • Demonstrated experience in a Human Resources administration or executive assistant or recruitment role with a sound knowledge of contemporary HR practices.
  • Experience in managing, updating and improving program processes and functions; excellent attention to detail.
  • Proven ability working in a highly productive environment with time pressures whilst managing multiple tasks.
  • High level of written, verbal and interpersonal communication skills.
  • Proven experience with generalist HR matters including accurate administration and record keeping
  • Strong organisational skills, with demonstrated capacity to successfully manage competing priorities, maintain attention to detail and meet deadlines.
  • High level MS proficiency (Outlook, Word, PowerPoint, Excel)
  • SharePoint skills (preferred)
  • Demonstrated a commitment to working for a community organisation within a feminist framework in a manner consistent with the mission, purpose and values of WLSQ.

MANDATORY REQUIREMENT:

  • This role requires the incumbent to have a clear National Police Check.
  • This role requires to obtain a blue card.
