Role purpose
Child Sponsorship plays a key role in helping our supporters and the children we support and their families to connect. One of the key functions of this role is to ensure the smooth running of our child sponsorship administration processes. This role will work closely with our partner organisations overseas as they implement child sponsorship processes.
We are also looking for someone to assist with key administration processes in the office including answering phones, speaking with our supporters and processing donations.
Key responsibilities
Child Sponsorship:
- Coordinate the review and sending of child sponsorship letters and updates to supporters.
- Coordinate the review of letters from sponsors to their sponsor children.
- Update child sponsorship systems.
- Coordinate the review of Annual Updates, including photos and share these with supporters.
- Setting up new sponsorships.
- Process substitutions when children leave the program.
- Coordinate and supervise volunteers in the office for sponsorship and International Partnerships administration tasks.
- Assist supporters with the transition to the new online sponsorship portal.
- Assist in setting up new procedures and processes for the new online sponsorship portal.
- Answering phones and responding to donor enquiries.
Administration:
- Be responsible for answering phones and processing donations.
- Assist in office administrative duties including collecting and dispatching mail.
- Maintain and updated data in our Salesforce CRM system.
- Perform other duties as assigned.
Key attributes required
We are looking for someone with the following skills and experience:
Essential:
- Attention to detail.
- Excellent administrative, time management, and self-organisational skills.
- A friendly character and excellent phone manner.
- Strong ability in using MS Office (MS Word, Outlook, SharePoint and Excel) and demonstrated capacity to master IT systems and software programs such as Customer Relationship Management systems.
- A background or relevant understanding of issues in international or community development, and the contexts in which WorldShare works.
- Strong communication and interpersonal skills with the ability to communicate and work with people from diverse cultures.
- Ability to handle data accurately and maintain confidential information.
- Support for WorldShare’s development approach of empowering locally-led and implemented development and a desire to respectfully build capacity.
- Adaptability to work effectively within an evolving and expanding organisation, able to solve problems and bring new structures and processes to life to meet changing needs.
- High motivation with a strong work ethic, positive attitude and demonstrated ability to work in a team.
- Committed to ongoing personal and professional development.
- A strong commitment to WorldShare’s values and Christian ethos including acting with integrity, support for the biblical theology that informs WorldShare’s development approach and the ability to participate in times of prayer and biblical reflection.
- A strong commitment to the safeguarding of children and vulnerable people.
Desirable:
- Experience working with CRMs (Salesforce preferred).
- Experience managing volunteers
