About Berengarra School

Berengarra School is an independent, not-for-profit, co-educational secondary school for students who have had significant difficulties in mainstream education settings. All students who attend Berengarra School have social and/or emotional disability that have contributed to their difficulties remaining engaged in education. Berengarra School offers innovative programs to engage young people and meet their individual needs in a stimulating, non-judgmental learning environment delivered by specialist staff.

Berengarra School consists of the Box Hill Campus with 50 year 7-10 students and the Pathways Campus with 30 year 10-12 students where currently the Victorian Certificate of Applied Learning (VCAL) is delivered and from 2023 will deliver the Victorian Pathways Certificate (VPC) and VCE Vocational Major (VM).

The Role

The Receptionist /Administrative Assistant is responsible for the efficient management of all front desk reception procedures in the delivery of high-quality customer service. In addition, the role provides administrative assistance to the Head of Campus, Principal and Business Manager as directed.

This role is primarily located at the Pathways campus, but attendance at other campuses may be required in the performance of duties. Reports to Principal and Business Manager.

Key responsibilities

  • Represent Berengarra School as the first point of contact in a professional, efficient, warm and friendly manner
  • Ensure all visitors complete sign in and out procedures as required
  • Responsible for all operational functions of the School’s reception including mail distribution, incoming telephone and emails
  • Ensure all School administrative records and files are properly and securely maintained
  • Assist with the student enrolment process, maintain enrolment packages and provide documentation as required
  • Maintain student records and details entered in Synergetic
  • Prepare communications to staff and the wider school community
  • Assist with payroll, accounts receivable, accounts payable and other accounting functions as required
  • Maintain School publications and IT functionalities as appropriate
  • Administer the Victoria Assessment Software System (VASS) in line with VCAA and liaise with staff and external providers
  • Provide administrative assistance for the community market and CafEducation
  • Correspond with TAFE’s and RTO’s for VET, VETIS, VCAL and SBAT’s courses, processes and training plans as required
  • Setup of meetings and functions as required
  • Attend meetings and take minutes as required
  • Manage purchasing and storage of school supplies and amenities
  • General administrative tasks and other duties as directed

Knowledge and skills

  • Ability to communicate and relate to a wide range of people including visitors, staff, parents, caregivers and students
  • Excellent written and communication skills
  • Commitment to providing excellent customer service
  • Sound problem solving and decision-making skills
  • High level of organisation and time management skills with ability to prioritise
  • Attention to detail and accuracy at a high standard
  • Proficient in Microsoft office programs and data entry
  • Ability to work autonomously and as part of a team
  • Ability to always exercise discretion and confidentiality
  • Ability to input data into the VASS
  • Understanding of training plans and VASS information

Qualifications and/or experience

  • Working with Children Check
  • Current Victorian Drivers’ Licence

Desirable

  • Experience of working with Synergetic
  • Experience of working with the VASS system
