Position  

In this role you will provide comprehensive administrative and logistical support to the CEO and various committees, ensuring the smooth operation of the CEO’s office and efficient coordination of meetings, travel, and documentation. You will be responsible for a range of tasks, including diary management, travel arrangements, and the preparation of agendas and minutes for Board and committee meetings.

Your key responsibilities in this role include:  

  • Managing the CEO’s diary, scheduling meetings, and preparing relevant documentation.  
  • Coordinating travel arrangements for the CEO, including bookings and logistical support for trips to Doomadgee, Mt Isa, and other locations.  
  • Providing administrative support for Board and committee meetings, ensuring agendas and minutes are prepared and distributed in a timely manner.  
  • Maintaining digital records and managing documents using platforms such as SharePoint and Microsoft Teams.  
  • Liaising with community members and external partners, ensuring culturally sensitive and respectful interactions.  
  • Managing community grants and funeral arrangements as needed.

Qualifications & Experience  

To excel in this role, you will need:  

  • Significant experience in administrative roles, preferably within an Aboriginal organisation.  
  • Exceptional organisational skills with the ability to manage multiple priorities and deadlines.  
  • Proficiency in Microsoft Office Suite, SharePoint, and Microsoft Teams.  
  • Strong communication skills, both written and verbal, tailored to diverse audiences.  
  • A high level of integrity and the ability to maintain confidentiality in all matters.  
  •  Demonstrated commitment to working within Aboriginal organisations and engaging respectfully with Aboriginal and Torres Strait Islander communities.

Desirable Qualifications & Experience  

  • Experience in a similar role within an Aboriginal community organisation.  
  • Certificate III or IV in Business Administration.
