The Administrative Assistant is responsible for the day-to-day delivery of administrative support as part of the CEO Office. The role provides professional and efficient support to ensure the seamless functioning of the Head Office, currently in North Ryde and assistance with tasks/responsibilities for the wider organisation.

Key Responsibilities:

  • Respond to routine requests for information from internal and external customers, escalating enquiries as necessary, to ensure the provision of accurate information.
  • Maintain relationship with our outsourced customer service centre (Customer Engagement P/L) for inbound telephone calls on the 1300 number.
  • Manage and action daily queries from the Operations team for the Achieve fleet of vehicles.
  • Maintain relationship with fleet provider, attend monthly meetings and work with GM Corporate Services for ongoing areas of work required for this function.
  • Coordinate handling and distribution of all incoming/outgoing mail including couriered items to ensure they reach their intended destinations.
  • Maintain stationery and office supplies to meet the requirements of staff across all business units and operational locations.
  • Issue security tags to staff and maintain a register of who has access to Head Office (HO) premises as well as updating the HO staff contact list.
  • Ensure invoices have been accurately completed and signed to meet the requirements of the approving manager.
  • Monthly reconciliation of credit cards for CEO and CFO.
  • Undertake routine “housekeeping” to ensure the office facilities are in good order and meet the organisations working environment and public image requirements. This will include maintenance of meetings rooms, kitchen area and developing relationships with suppliers.
  • Cover duties of other CEO office administration team members during breaks and absences to ensure continuity of service.
  • Assisting with meeting room bookings and sourcing external venues. Making recommendations in relation to budget, location, catering and other requirements of the meeting.
  • Maintain strong relationships with the travel services provider to ensure that travel and accommodation requirements of Head Office and Regional management are effectively administered.

To be successful in this role, you will need:

  • Previous experience in an administrative role.
  • High attention to detail.
  • Ability to work efficiently with competing deadlines.
  • Capability to thrive in a fast-paced environment.
  • Proficiency in Microsoft Office Suite
  • Tertiary qualifications and experience in HR or equivalent is highly regarded.
  • Experience in administration and customer service.
  • Excellent communication skills, both verbal and written.
  • Strong organisational abilities coupled with high efficiency.
  • The ability to work well within a team as well as independently.
  • Keen attention to detail and accuracy.
  • Flexibility to adapt to changing priorities.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, Teams)
