POSITION PURPOSE

The Project Coordinator is responsible for performing duties associated with the planning and coordination of the iMIS Upgrade Project. Reporting to the Manager Technology and working alongside the National Membership Systems Coordinator, the Project Coordinator will provide leadership and work collaboratively with, Business Unit Coordinators and external suppliers to ensure that the project is executed effectively, efficiently, and in accordance with Institute’s policies.

ACCOUNTABILITIES

In accordance with Institute policies, procedures and guidelines and working in association with relevant staff, responsibilities will include:

  • Providing information and regular support to stakeholders and be the point of contact for the Project
  • Developing in-depth understanding of project scope and particulars i.e. timeframes, financials, outcomes
  • Understanding formal escalation and review processes
  • Preparation and management of project management documents including planning and progress reporting on actions and milestones
  • Cultivating productive working relationships through the nurturing of internal and external relationships, facilitate cooperation, value individual differences and diversity and guide, mentor and develop junior staff to become subject matter experts in their areas of responsibility
  • Providing support to project managers and business unit coordinators when requested

QUALIFICATIONS AND EXPERIENCE

The Project Coordinator should have the following:

  • Relevant IT tertiary qualifications and Project Management experience
  • Experience with Monday.com
  • Proven experience and demonstrable success project managing (PMBOK or prince methodologies) in a diversified SME business environment where non-project Coordinators are key stakeholders and team members
  • Experience in managing significant IT and/or member service delivery change projects
  • Experience in guiding staff
  • Change management experience
  • Experience with iMIS is highly regarded but not essential

KNOWLEDGE AND SKILLS

It is preferable the successful applicant has:

  • Excellent ‘Plain English’ written and oral communication skills
  • The ability to liaise appropriately with stakeholders and senior office bearers at various levels
  • The ability to exercise sound judgement when and where concerns require immediate action and / or escalation
  • Excellent knowledge and understanding of project management and contemporary risk management and forecasting concepts
  • Strong working knowledge of IT project planning and delivery methodologies, e.g. Agile
  • Excellent word processing, spreadsheet, email and GANTT charting skills
