The Role

Araluen is seeking an experienced part-time Executive Assistant responsible for administrative support and personal assistance as the ‘right hand person’ to our passionate Chief Executive (CE).

Duties and Responsibilities

Provide professional support services to the Executive Team and the Board of Directors (Board) to ensure that communications, meetings, correspondence and functions and report preparation are well organised, delivered in a timely manner and at a consistently high standard. As part of this role you will provide assistance to high-level executives within the organisation, trusted with complex duties and sensitive information.

The role supports the Executive Team and the Board in time management, information management and delivering high-quality organisation in accordance with current, best practice governance principles for the Board and committee meetings and processes.

The Person

This role requires an amazing communicator, with outstanding organisational skills, a repertoire of excellent skills and experience supporting senior C-suite personal who are extremely busy.

We would love to hear from you if you possess the following skills and qualities as you will be a great fit.

  • 3+ years’ experience in a similar Executive Assistance role 
  • Ability to quickly build rapport and develop boundaries around work procedures, escalations to Chief Executive etc;
  • Excellent time, workflow management & multi-tasking skills, including working to deadline;
  • Outstanding problem-solving & solution finding skills, with a proven ability for researching requirements;
  • Tech savvy - the basics - MS Office, Presentation software, database management but also the ability to troubleshoot basic technical problems and have great ideas for tech solutions as they arise;
  • Empathy and composure during a crisis;
  • Exceptional interpersonal skills to engage effectively with a diverse range of individuals who may be suppliers, clients, professionals, families etc;
  • Very approachable but also able to rise to manage a challenging interaction;
  • Ability to pivot and react to changing priorities quickly and efficiently;
  • Discretion and confidentiality;
  • Enthusiasm, resilience and a sense of humour; and
  • Passion and commitment to the community we serve.
