AMS is an international development agency founded by the Marist Brothers Star of the Sea Province and is a vehicle for expressing the solidarity of Marist Schools and the broader Marist community in Australia within our region. AMS works through partnership with local communities in 15 countries across Asia and the Pacific to help young people reach their brightest potential.

About the Role

The Finance and Operations Officer role is responsible for administering AMS’ financial systems, ensuring accurate recording, tracking and reporting of AMS’ financial operations. It also supports other operational functions, such as data entry, health and safety and coordination of procedures and processes, under the direction and supervision of the Business Manager.

This is a hands-on role and would suit someone who enjoys working proactively and systematically, with high attention to detail, excellent time management and strong communication skills. The role reports to the AMS Business Manager, but also works collaboratively with other members of the team.

Selection Criteria

Essential Qualifications, Skills and Experience:

  • 3 years’ experience working in a similar book-keeping or related business support role, preferably in a small to medium sized business or non-profit organisation
  • Demonstrated experience and confidence using MYOB
  • Experience and competence with data entry and database management
  • Strong understanding of administrative and records management principles
  • Strong written and oral communication skills
  • Advanced computer skills and comfort working in a digital environment, including the Microsoft office suite (Outlook, Word, Excel, Teams) and Adobe
  • A passion for making a contribution to the world and those who are less fortunate

Desirable Skills and Experience:

  • Certificate IV Bookkeeping or accounting related qualification
  • Experience using a customer relationship management (CRM) system (donation/client management software)
  • Experience and confidence using online Banking software
  • Experience working in or engaging with a faith-based organisation

  • Demonstrated ability to work well both independently and collaboratively in a multi-disciplinary team

Key Responsibilities and Accountabilities

Accounts and Finance:

  • Ensure all financial transactions are recorded accurately in MYOB
  • Processing of accounts payable in MYOB, in line with AMS policies and procedures
  • Preparation of international money transfers (IMTs) to project partners
  • Support banking functions, including payment preparation and deposits
  • Reconciliation of bank accounts and credit cards

Records Management:

  • Coordinate data updates and maintenance in the CRM
  • Assist team members with preparing CRM queries and reports for supporter engagement

Donation Management:

  • Processing of donations in the CRM
  • Processing of donations into MYOB
  • Issuing donor receipts in a timely manner
  • Preparation of the annual receipts for regular givers
  • Timely response to donor queries and requests

Business Support:

  • Support the Business Manager in implementation of related organisational policies and procedures
  • Support the Business Manager with year end audit preparation
  • Support the Business Manager with budget preparation
  • Support the provision of a safe work environment through implementation of AMS’ WH&S compliance processes, activities and responsibilities.
  • Maintain AMS’ procedure register and operations manual, coordinating the development and capturing of new procedures/processes and the revision of existing ones, alongside staff with relevant technical expertise as appropriate.
  • Coordinate the assets register, including IT equipment
  • Coordinate and support team IT queries with appropriate providers/services
  • Additional functions or duties as required

Australian Marist Solidarity has zero tolerance of abuse of those who are vulnerable and a strong commitment to their safeguarding. Prior to commencing with AMS you will be required to undertake a National Criminal History Check and hold or be willing to obtain a Working with Children Check (Blue Card).
