Located on Gadigal and Bidjigal land (Randwick NSW), Black Dog Institute is the only Medical Research Institute in Australia to investigate mental health across the full lifespan, our aim is to create a mentally healthier world for everyone. The Role

The role of Administration Assistant is to deliver administrative expertise to the evaluation activities of the Service Engagement and Operations Department ensuring an excellent customer experience and the smooth and efficient service delivery. The position works collaboratively across the wider team to ensure timely and effective delivery of evaluation activities.

Duties & Responsibilities

Evaluation Administration and Reporting:

  • Administration of workshop evaluation processes through relevant platforms.
  • Scheduling of pre, post-training, and follow-up evaluation surveys.
  • Delivery of communications related to evaluation completion reminders.
  • Monitoring survey response-rates and coordinating follow-up as required.
  • Support development of evaluation instruments and processes.
  • Create, review and distribute post-training and webinar evaluation reports.
  • Provide support for the creation of specialised evaluation reports for large clients or custom programs
  • Extract data from in-house Learning Management Systems for reporting milestones
  • Prepare data as required, including for data entry from paper-based surveys, for dashboards and for presentations
  • Adhere to strict data privacy and confidentiality protocols.
  • Provide support to Evaluation Manager as required.

Quality Assurance and Continuous Improvement :

  • Raise, log and monitor any issues or complaints in relation to service delivery in the relevant training and digital product Quality Assurance registers
  • Alert Evaluation Manager to feedback in evaluation reports related to quality assurance
  • Contribute to administrative procedures to continuously improve internal and external stakeholder experience Customer service and client liaison
  • Provide excellent customer service to clients and other external stakeholders.
  • Respond to client enquiries and requests for information via email and phone.
General Duties:
  • Monitor and update database (Salesforce)
  • Maintain meticulous records
  • Assist with workshop logistics such as, venue and catering booking and scheduling of online interactive workshops.
  • Administration of post-workshop attendance and accreditation records.
  • Provide administrative support for The Institutes Learning Management System.
  • Provide additional assistance to members of the Service Engagement and Operations Team as required.

Skills & Experience Required

  1. Demonstrated administrative experience and/or project support.
  2. High level computer literacy skills, including experience with MS Office applications.
  3. Demonstrated experience in administration of a Customer Relationship Management platform, Learning Management System or other similar digital platform.
  4. Excellent organisational and communication skills.
  5. Well-developed interpersonal and oral communication skills.
  6. Ability to work independently and as part of a team.

Desirable Criteria:

  1. Experience using any of the following platforms – Salesforce, SocialSuite, Zoom and/or Absorb.
  2. Experience with database management or data analysis using SPSS or similar
  3. Experience with program evaluation or research methodologies
