About The Australasian Menopause Society

The Australasian Menopause Society (AMS) is the peak body for menopause and women’s midlife health in Australia and New Zealand. The AMS is a member-based, not-for-profit charity of nearly 1000 health professionals, who each have a special interest in women’s midlife health, menopause and the promotion of healthy ageing. The aim of AMS is the advancement of knowledge about menopause, and our mission is to improve the quality of life of women during and after menopause. The AMS is an evidence-based and trusted source of information on menopause and midlife women’s health for health professionals and consumers. AMS provides face to face and virtual education to health professionals, in the workplace and in the community.

About the Role

This is a great opportunity for a high calibre Executive Assistant with experience providing support to a small but busy team. It would suit someone who is keen to understand all aspects of a values-based, not-for-profit membership organisation, while working on diverse tasks and engaging with a variety of stakeholders. Key Responsibilities

  • Provide high level, confidential, administrative support to the Executive Director.
  • Proactively coordinate the Executive Director’s logistics via effective email, diary, travel and meeting management and administration.
  • Coordinate timelines, meetings, documentation and internal resources for the Board and Board sub-committees on behalf of the Executive Director.
  • Coordinate meetings, functions, agendas, and room bookings.
  • Maintain administrative processes and templates including agendas, minutes, and action registers, and provide secretarial support where required.
  • Monitor work action plans, following up outstanding actions and reporting progress to deliver outcome required.
  • Format and word processing of reports, proposals, letters, and other documents.

Skills and Attributes

  • Minimum of 3 years’ experience as an Executive Assistant.
  • Excellent communication skills, both written and verbal with exceptional attention to detail.
  • Advanced skills in MS Office (Word, Excel, PowerPoint, Outlook), SharePoint and/or Monday.com.
  • Ability and willingness to learn new processes, databases, and software.
  • Professionalism, respect and integrity toward staff, Board, members, partners, clients and other stakeholders;
  • A practical yet flexible and adaptable approach with the ability to deal with changing priorities and tight/competing deadlines
  • Proactive with the ability to troubleshoot/resolve issues as they arise.
  • Demonstrated ability to handle sensitive and confidential information.

Specific work requirements include attendance at a variety of different work locations, occasionally after hours. This includes board meetings and an annual conference.
