Position Overiew

The BSG team is seeking an experienced Events & Communications Manager who will be responsible for the planning, coordination, and execution of all events hosted by BSG. This role requires a dynamic and organised individual with a passion for sustainability and community engagement. The Events & Communications Manager will play a crucial role in enhancing BSG's visibility and impact through well-organised and influential events.

The role involves planning, organising, and executing the Bendigo Sustainability Festival, Bendigo Sustainable House Day, and the Sustainable Home Series. Additionally, the role will support BSG in developing future event concepts. We are looking for someone to build on the success of our established events and take them to the next level.

The position is 2-3 days per week for 12 months, commencing July 2024.

Role Responsibilities

Along with BSG event sub-committees, the Events & Communications Manager is responsible for:

Event Planning and Management:

  • Plan, organise, and execute the annual Bendigo Sustainability Festival and Sustainable Home Series events (Sustainable House Day plus two smaller-scale events, eg. panel talks, information sessions) each year.
  • Provide advice and support for other events as developed by BSG.
  • Develop event concepts, themes, and formats that align with BSG's mission and goals, aiming to build on and enhance the success of previous events.
  • Create and manage event timelines, budgets, and logistics.
  • Recruit and coordinate stallholders, sponsors, partners, and volunteers to ensure successful event delivery. This includes increasing the level of diversity of stallholders and partners.
  • Oversee the setup, execution, and breakdown of events, ensuring all details are managed effectively and all requirements adhered to.

Stakeholder Engagement:

  • Build and maintain relationships with key stakeholders, including stallholders, sponsors, community organisations, and volunteers.
  • Along with the BSG Executive Officer, engage with local businesses and organisations to secure partnerships and sponsorships.
  • Communicate regularly with stakeholders to provide updates and ensure their needs and expectations are met.

Marketing and Promotion:

  • Develop and implement marketing and promotional strategies to increase event attendance and engagement, along with the BSG Executive Officer.
  • Create promotional materials, including social media content, press releases, email campaigns, and other promotional channels.
  • Manage event registration and attendee communication.

Volunteer Management:

  • Recruit and manage event volunteers.
  • Assign tasks and responsibilities to volunteers, ensuring they are well-prepared and supported.

Evaluation and Reporting:

  • Provide fortnightly progress reports to the BSG Executive Officer.
  • Conduct post-event evaluations to gather feedback and assess the success of events.
  • Prepare detailed reports on event outcomes, including attendance, financial performance, and stakeholder feedback.
  • Identify areas for improvement and make recommendations for future events.

Selection Criteria

  • Proven experience in event management and project management
  • Proven ability to manage multiple events simultaneously and meet deadlines
  • Strong marketing and communications knowledge
  • Excellent organisational abilities
  • Strong problem-solving expertise and negotiation skills
  • Passion for sustainability and community empowerment
  • Proficiency in digital platforms including Google Suite, Squarespace, MailChimp, Eventbrite, and Canva
  • Proficiency in social media platforms (Facebook, Instagram, LinkedIn, etc.)
  • Experience coordinating volunteers
  • Creative and innovative mindset with the ability to develop unique event concepts
