About this Position

The Policy Specialist is tasked with developing and maintaining the organisations library of policies and procedures. It includes supporting teams to clearly articulate policy positions on a broad range of matters and to support the development of policies processes and procedures.

Reporting to the Quality and Safety Manager the Policy Specialist will work closely with the Compliance and Audit Specialist to support the maintenance of continuous improvement registers. The Policy Specialist, in collaboration with the Compliance and Audit Specialist will ensure policies and procedures are in line with regulatory and industry requirements.

The role supports a team that enables Beyond Blue to operate effectively and efficiently, and responds to business needs through fit for purpose, user-centric frameworks, governance, assurance, and advisory support – so our resources are used well, and our people make good decisions, balance risk with reward, and produce great community outcomes.

The role

The key duties of the role include:

Policy Management

  • Support organisational stakeholders in the development of internal policy, procedural and associated artefact development
  • Lead policy projects to support team objectives from all parts of the organisation
  • Initiate and oversee the policy review process in conjunction with the Quality and Safety Manager
  • In collaboration with the Quality and safety manager develop a prioritised program of works
  • Report to the Quality and safety Manager and Head of Assurance, on any material compliance or policy matters requiring attention
  • Support the development of documents through to online publishing and continued review
  • Maintain the organisation’s policy register and
  • Report regularly on organisational policy compliance to the Quality and Safety Manager.

Quality and Compliance

  • Support the maintenance of continuous improvement registers
  • Support the development and implementation of the organisation’s quality management system, including the development of quality policies and frameworks
  • Work closely with the Compliance and Audit role to support organisational compliance and audit activities
  • Keep up-to-date on legal and/or regulatory changes that may impact the organisation and make recommendations where existing policies and procedures may require review;
  • Assist and support the on-going management of the development of the annual internal audit program

About you

To be successful in the role, you would have:

  • A Bachelor Degree
  • Experience developing and maintaining internal policies, procedures and supporting documents and processes
  • Demonstrated experience in developing and interpreting legislation/regulations, policies, procedures and guidelines
  • Demonstrated capacity to communicate effectively with and gain support from colleagues
  • Sound problem solving skills and demonstrated attention to detail
  • Demonstrated ability to lead initiatives and present effectively to a variety of audiences
  • Effective planning and development skills, including the ability to prioritise workload and manage competing demands
  • Knowledge of governance, risk and compliance software and systems
  • Ability to meet tight deadlines and work under pressure
  • Ability to exercise discretion and maintain a high level of confidentiality at all times, particularly when exposed to personal and/or sensitive information.
