Blue Light Victoria is a charity that delivers programs to young people across Victoria to build their resilience and wellbeing by encouraging healthy and safe choices.

Blue Light Victoria was established in 1976 through the formation of a drug and alcohol-free disco for young people. Popularity grew from this first disco, quickly spreading across the state with thousands of young people attending each year. These events were so popular that attending a Blue Light Disco was akin to a rite of passage and is often what we think of when we hear “Blue Light”.

Today Blue Light Victoria is much more than a disco. It is a vibrant charity that exists to ‘Inspire, Engage and Equip Young People to be their Best Self’. We support young people who are at risk of disengaging from school, their community or family, as well as those at risk of contact with the criminal justice system. We do this through a variety of programs and initiatives that increase connection, mental and physical wellbeing, and empowerment.

We work with an array of community stakeholders and have key partnerships with Victoria Police and other emergency services. The Chief Commissioner of Victoria Police, Shane Patton APM is our Patron.

Our work enables more than 12,000 young people to participate in a positive engagement activity or program across the state each year.

Organisational Structure

BLV is governed by a Board of Directors. The Chief Executive Officer leads operational and strategic oversight of the organisation.
BLV has a state office, based at the Victoria Police Centre in Melbourne. The state office includes both paid staff and volunteers and is responsible for the delivery of school-based programs, training, and development and for providing support to our 19 branches across the state. Branches provide a variety of initiatives for young people, including fitness and personal development programs, discos, camping programs and social enterprise initiatives, including coffee carts and hospitality training. These initiatives are structured and supervised and cater to a wide range of ages and abilities.

About this Role

The Administration Officer role is a core member of the Blue Light Victoria team. This role provides operational support and assistance to ensure that programs and initiatives are delivered in a timely manner and implemented to the highest standard.

Reporting Structure

The Administration Officer will report to the School Programs Manager and will also work closely with the Programs Coordinator and Operations Manager as required.

KEY RESPONSIBILITIES

  • Provide administrative assistance to ensure implementation and high quality service delivery of all Blue Light Victoria school programs.
  • Provide administrative as appropriate to ensure other Blue Light programs and initiatives are coordinated and delivered to a high standard.
  • Act as the primary point of contact for general program correspondence including responding to emails, phone calls and other pathways of program communications.
  • Initial administrative setup of new program sites across the state including program logistics.
  • Maintain and organise program data and paperwork including enrolments, onboarding documentation, program surveys and requisite reporting.
  • Order and/or prepare the provision of supporting materials and resources required for programs and initiatives.
  • Ensure Mailchimp database (and any other data bases that may be relevant), has accurate and up to date information.
  • Stakeholder engagement including with schools, contractors, suppliers, police and emergency services.
  • Other administration support as appropriate.

Requirements for Success

To have success in the role you will be highly motivated, with a positive ‘get stuck in’ mindset bringing experience from a similar role. You will also have:

  • Intermediate – Advanced skills in the Microsoft suite, be tech-savvy with database and records management and understanding of data privacy and governance.
  • Knowledge and use of Salesforce would be an advantage.
  • Highly developed professional communication (both verbal and written) and a commitment to excellent customer service.
  • Ability to work autonomously and use initiative to seek clarification as required.
  • Ability to set priorities when faced with competing demands
  • Strong attention to detail & high level of accuracy.
  • Well-developed organisational and administrative skills
  • Ability to work with a range of stakeholders
  • Commitment to continuous improvement
  • Solutions-focused approach to addressing challenges (problem-solving)

Hours and Basis of Employment

This role is offered on a full time basis. Part-time (including school hours) will also be considered for the right candidate. The role is based in the Melbourne CBD with a hybrid work arrangement. We support staff to work flexibly based on the premise that work will remain the focus of any arrangement.

Remuneration

Social, Community, Home Care and Disability Services Industry Award - $65 - 75K pro rata per year plus superannuation dependent on qualifications and experience.

We also offer attractive NFP salary packaging benefits including up $15,900 salary sacrifice and $2650 for meals and entertainment card.

Employment Period – Until 19 December, 2025.
