ABOUT THE ROLE

We are thrilled to introduce a brand-new opportunity for an Executive Assistant to our busy CEO, who has been doing it all herself! We are seeking someone who will provide comprehensive support to our CEO and ensure the efficient and effective operation of our organisation. From managing the CEO’s inbox and calendar, to compilation of reports and manuals, this role involves high attention to detail and excellent time management skills. This role suits a proactive and organised individual who thrives in a dynamic environment and is thinking one step ahead to support our CEO and organisation.

Body Safety Australia was established nine years ago, and rapid growth has led to the CEO needing a greater level of support. An experienced executive assistant in this role will ensure a smooth transition and the implementation of clear processes.

This position will be located in North Melbourne and offers flexibility regarding work hours, with the possibility of negotiating a 0.6FTE workload spread across 3-5 days per week.

Core responsibilities

Providing a full range of administrative and project support services to the CEO including:

  • Managing CEO email inbox and calendar,
  • Filing and records managements,
  • Maintenance of routine databases and compilation of manuals and reports,
  • Develop and administer appropriate office systems and procedures to ensure efficient and effective business operations,
  • Provide effective and appropriate information dissemination between the clients, community members, staff, Board Directors, and other stakeholders as directed by the CEO,
  • In conjunction with the CEO, develop agendas for meetings overseen by the CEO and take Minutes of such meetings as required,
  • Act as the point of contact with external stakeholders, screen incoming calls to the CEO and redirect to appropriate staff for attention where relevant,
  • Represent the CEO professionally in all communication,
  • Work independently and proactively to ensure CEOs programs of work progress as planned,
  • Manage workflows of CEO direct reports and organisational major projects with project managers.

Provide administrative and support functions to the Board of Directors as required including:

  • Scheduling meetings,
  • File and retrieval of confidential documents,
  • Room bookings and catering,
  • Arranging travel and accommodation where required,
  • Arrange the Annual General Meeting in conjunction with the Board Secretary and any Special General Meeting,
  • Arrange Strategic Planning events and provide administrative support during the planning process,
  • Under the direction of the Board Secretary, ensure compliance with Australian Securities and Investment Commission (ASIC) regulations.

Additional miscellaneous tasks as negotiated to support the organisation’s smooth operations

We're looking for people who:

  • Are genuinely passionate about being change makers and being part of the prevention of harm towards children,
  • Have an understanding of primary prevention education and the critical issues associated with sexual and family violence.
  • Enjoy breadth in their job, and leap at the chance to contribute diverse career skills,
  • Are excellent communicators with great written and phone skills,
  • Demonstrate exceptional organisational skills and attention to detail,
  • Excel in time management and can prioritise tasks effectively.
  • Possess strong problem-solving abilities and can adapt to changing priorities,
  • Exhibit professionalism and discretion in handling confidential information,
  • Have experience in providing executive support to organisational leaders,
  • Are familiar with the administrative and support needs of a CEO and Board Directors,
  • Have a current Working with Children Check and agree to undergo a police check,
  • Are proficient in office software such as Microsoft Office Suite.
  • Are eager to seize the opportunity as the CEO's first Executive Assistant and can collaborate in shaping and defining the role.
