Foundation & Friends of the Botanic Gardens (Foundation & Friends) is a not-for-profit organisation that is devoted to supporting, protecting, and enhancing the Royal Botanic Gardens Sydney, the Domain, the Australian Botanic Gardens Mount Annan, and the Blue Mountains Botanic Gardens Mount Tomah.
The recently renewed vision of Foundation & Friends is for ‘a thriving, connected community that leads fundraising and philanthropy to help the Gardens realise their vision.’ That is the people, communities, institutions and industries that are informed and inspired by our Botanic Gardens, public spaces and the Australian Institute of Botanical Science. We aim to motivate them to recognise the importance of plants in their lives and to support their conservation.

The Purpose of Position
The primary purpose of this role is to assist the team at Foundation & Friends with the marketing and delivery of the calendar of events and activities undertaken by the organisation.
You will be responsible for supporting the art classes, workshops, day tours and guided walks, as well as for social media, regular emails (eDMs) and website content publishing and updates.
Main Responsibilities
Events
- Assist with ideas, and in the development of event plans, running orders and bump-in / bump-out schedules and post event reviews.
- Assist in the coordination of event logistics to ensure professional implementation from bump-in to bump-out and through planning. This includes booking and confirmation of presenters, artist and guests, venue hire, catering, other supplier liaison, volunteer rostering, online event booking system (currently ThankQ) and developing an evaluation survey for each event.
- Provide operations and logistics support for exhibitions and other activities during bump-in, bump-out and during opening hours. This includes venue & equipment set-up, audio visual support including recording, and volunteer support.
- Professional delivery of art classes, workshops, day tours, guided walks, and similar events throughout the year in conjunction with artists and volunteers.
- Provide support for and deliver donor, supporter and volunteer events.
Marketing and Communication
- Development and posting of social media and regular email (eDM) content, working with the staff team and appropriate volunteer leaders.
- In consultation with key stakeholders as required, regularly update the content on the Foundation & Friends section of the Botanic Gardens of Sydney website.
- Monitor and respond to social media requests and comments from members, donors and the public.
- Assist in marketing events, exhibitions and other activities via social channels, legacy media and signage.
- Assist in supporting and promoting fundraising appeals, donor communications, supporter events and other fundraising activities.
- Assist in the preparation of printed and other materials, including contributing to the Foundation & Friends magazine, The Gardens.
Other Duties
- Support and assist in other projects, events and ad hoc tasks as required by the CEO (or delegate) from time to time.

Competency Profile
The skills/competencies required to fulfil this role are set out below:
Essential criteria
- Qualifications, or progressing towards qualifications in events, and/or marketing, or a related discipline.
- At least 2-3 years demonstrated experience working in events and/or marketing environments - fields of environment and/or cultural institutions an advantage.
- Excellent planning, delivery and coordination of projects in a multi-task environment with an eye for detail.
- Demonstrated computing skills including database and/or excel reporting and analysis.
- Strong interpersonal skills, with ability to interact professionally with a diverse group of people.
- Excellent communication skills (writing and verbal), including with the public and in digital environments.
- Positive, engaging, energetic and approachable attitude.
Desirable Criteria
- Have had experience in paid or voluntary work for a not-for-profit organisation, especially within environment or cultural institutions.
- Have an interest in CRM/CMS systems and online fundraising platforms.
- Have knowledge and/or experience in event fundraising or other forms of income generation.
Relationships
- Reporting to the Event and Exhibition Manager of Foundation & Friends.
- Work closely with the Communications and Marketing Manager, Fundraising Team, Events Officer, Volunteer Coordinator, artists, horticulturalist, and volunteer leaders.
- Key internal relationships other Foundation & Friends staff, Board, members, donors and volunteers
- Key external relationships include staff and volunteers of the Botanic Gardens of Sydney.
Other Relevant Information
Pay $77,000 pa + 11.5% Super
Eligibility
To be appointed to this position you must be an Australian/New Zealand Citizen, or an Australian Permanent Resident currently residing in Australia.
