Objectives of this role

  • Serve as the eyes and ears of the office, providing information, answering questions, and responding to requests
  • Ensure optimal use of office equipment, supplies, and inventories through preventive maintenance
  • Maintain workflow by analysing and refining standard operating procedures, such as scheduling, communications, and office layout
  • Coordinate internal and external resources to expedite workflow
  • Oversee and achieve organisational goals while upholding best practices

Responsibilities

  • Provide front-desk coverage by managing a multiline phone system, greeting and checking guests in as they enter the office, managing incoming/outgoing email , and maintaining an organised, clean office environment
  • Provide administrative support to all staff, including email correspondence and generation and distribution of memos, letters, spreadsheets, and forms
  • Manage Brite’s main organisational calendar and email accounts ensuring all emails are responded to and/or forwarded accordingly and in a timely manner;
  • Supports management with any administrative, project, research, as required
  • Plan, organise, and schedule company meetings in the office, and via videoconference and on-site events
  • Provide light technical support to staff and liaise with our managed IT partner
  • Maintain O365 electronic filing system, various databases, employee list, and inventory
  • Order and oversee office supplies and food deliveries for group meetings
  • Other tasks as assigned.

Required skills and qualifications

  • NDIS Worker Screening and Working with Children Clearances
  • Proven 2+ years administrative experience
  • Current Australian drivers' licence
  • Superb written and verbal communication skills
  • Strong time-management skills and multitasking ability
  • Aptitude for learning new software and systems
  • MSOffice - Word, Excel, Powerpoint

Preferred skills and qualifications

  • Previous experience with O365, SharePoint, OneDrive and Teams
  • Previous success in a fast paced office and working with people with disability
  • ICT and digital marketing experience a plus
  • Experience developing internal processes and filing systems
  • Comfortable handling confidential information
