Serve as the eyes and ears of the office, providing information, answering questions, and responding to requests
Ensure optimal use of office equipment, supplies, and inventories through preventive maintenance
Maintain workflow by analysing and refining standard operating procedures, such as scheduling, communications, and office layout
Coordinate internal and external resources to expedite workflow
Oversee and achieve organisational goals while upholding best practices
Responsibilities
Provide front-desk coverage by managing a multiline phone system, greeting and checking guests in as they enter the office, managing incoming/outgoing email , and maintaining an organised, clean office environment
Provide administrative support to all staff, including email correspondence and generation and distribution of memos, letters, spreadsheets, and forms
Manage Brite’s main organisational calendar and email accounts ensuring all emails are responded to and/or forwarded accordingly and in a timely manner;
Supports management with any administrative, project, research, as required
Plan, organise, and schedule company meetings in the office, and via videoconference and on-site events
Provide light technical support to staff and liaise with our managed IT partner
Maintain O365 electronic filing system, various databases, employee list, and inventory
Order and oversee office supplies and food deliveries for group meetings
Other tasks as assigned.
Required skills and qualifications
NDIS Worker Screening and Working with Children Clearances
Proven 2+ years administrative experience
Current Australian drivers' licence
Superb written and verbal communication skills
Strong time-management skills and multitasking ability
Aptitude for learning new software and systems
MSOffice - Word, Excel, Powerpoint
Preferred skills and qualifications
Previous experience with O365, SharePoint, OneDrive and Teams
Previous success in a fast paced office and working with people with disability
ICT and digital marketing experience a plus
Experience developing internal processes and filing systems
Comfortable handling confidential information
