The Centre for Evidence and Implementation (CEI) is a global, not-for-profit evidence intermediary dedicated to using the best evidence in practice and policy to improve the lives of children, families, and communities facing adversity. Established in Australia in late 2015, CEI is a multi-disciplinary team across four offices in Singapore, Melbourne, Sydney and London. We work with our clients, including policymakers, governments, practitioners, program providers, organisation leaders, philanthropists and funders in three key areas of work:

The Role

Working directly with the Executive Director, other Directors, and the Leadership Team at CEI, this role will provide executive support by managing their calendars, supporting them with meeting preparation, task prioritisation and assistance, to ensure they’re supporting their teams. The role is critical in the delivery of essential projects with tight timeframes and is an integral part of ensuring Centre operations and business activities run smoothly. The Executive Assistant delivers administrative duties with accuracy and speed, has excellent time management skills, and can effectively support a diverse range of projects. The position requires excellent interpersonal and communication skills and knowledge of social media, along with writing, editing, proofreading and data entry skills.

This is a varied role that requires a highly detail-oriented and organised person who can be pro-active in taking the lead to coordinate initiatives/tasks in support of the Executives and their teams and who has had extensive experience supporting senior Executives. The successful candidate will excel at managing key relationships and be adept at liaising with senior stakeholders across government, philanthropy, and business from Australia, Asia, and Europe, and will be comfortable dealing with a variety of key internal stakeholders, while managing competing demands. 

In addition, The EA should possess an ability to deal appropriately with confidential information along with the maturity to manage competing priorities with quality delivery within a fast-paced environment. As a global organisation there will be at times an expectation that work and meetings will be conducted outside regular business hours.

Required Competencies

Executive Assistant responsibilities

  • Acting as the point of contact between the Executive Director, Leadership team and internal or external stakeholders
  • Managing diaries management for the Executive Director and Australian Directors: organising meetings, collating and distributing meeting papers and booking meeting rooms
  • Assisting in the creation and editing of PowerPoint presentations
  • Drafting correspondence and responding to emails on behalf of the Executive Director/Directors
  • Monitoring and replying to emails when appropriate
  • Coordinating travel arrangements and detailed travel itineraries
  • Taking minutes for key meetings and following up on action items
  • Producing reports and presentations based on content and guidance provided by senior leader

Board Administrative support

  • Liaising with stakeholders to schedule Board meetings for the year
  • Overseeing the drafting of the agenda alongside the editing and collation of Board papers
  • Coordinating induction of new Board Directors
  • Organising travel for interstate Board Directors

Administrative support

  • Providing general administrative support across the Australian team; travel arrangements, team meetings, booking meetings, basic IT, covering Centre phone and Website inquiries, etc.
  • Procurement of laptops for new staff and organising new staff email accounts
  • Providing assistance with the editing and formatting of documents in Word and PowerPoint
  • Managing email distribution lists
  • Ensuring the day-to-day efficient operation of the Centre, including establishing and implementing processes and procedures where necessary
  • Assisting the Accountant in with transaction processing tasks i.e. submit employee expense reimbursements and assist with AR/AP when necessary
  • Reconciling and acquitting monthly credit card statements for staff
  • Coordinating both internal and external events, such as offsite conferences, webinars and in-house events, nationally and internationally
  • Coordinating interstate and international Centre visitors

Person Specification

Essential

  • At least 10 years' experience as an Executive Assistant with a minimum of 5 years at the CEO level
  • Strong diary management skills and intermediate proficiency in Microsoft Office suite particularly PowerPoint
  • Outstanding time management and organisational skills, and experience managing multiple tasks in a dynamic environment with competing demands
  • Excellent communication skills - written and verbal - with strong attention to detail
  • Ability to be flexible, efficient and proactive in solving problems
  • Eagerness to participate and contribute to a learning environment, with a commitment to the ongoing development of a strong team culture
  • Able to act with sensitivity, discretion and confidentiality as required

  • Client relationship management skills
