Darlinghurst Theatre Company is looking for an admin wizz with a strong work ethic and outstanding organisational skills. The Business Administrator will play a key role in DTC’s growing Operations Team and will enjoy opportunities for progression and professional development. With a 30-year legacy, Darlinghurst Theatre Company (DTC) has evolved into Sydney’s home for bold, ambitious cultural experiences. Part theatre company, part experience maker, DTC stands for radical empowerment and inclusion. Since 2020, DTC has expanded rapidly, championing historically excluded humans in adventurous cross-genre artistic exploration. Key Responsibilities

Operations & Administration

  • Collaborate in the development and implementation of operational strategies to support the overall goals and objectives of the theatre company.
  • Support the Executive Director, General Manager and Producing team by providing administrative support including (but not limited to): document management, correspondence, inbox management, processing staff leave requests, data collation and scheduling.
  • Maintain a comprehensive understanding of the company's operations, programs, and processes.
  • Oversight of the Company’s back-end ticketing processes and procedures.
  • Process staff leave requests.
  • Full Company office management at the main production office in Darlinghurst.
  • Support the Communications Manager in the ongoing management and maintenance of the website.
  • Contribute to the development and improvement of Company processes and policies.
  • Support the General Manager, Events & Customer Experience Manager and Box Office Team in ticketing related processes.

Financial Management

  • Support the General Manager in the management of payroll and accounts payable and receivable including (but not limited to): invoice processing, vendor management, and payment coordination.
  • Work closely with the Producing and Front of House teams, and external bookkeepers, to ensure accurate and timely financial recording and reporting.
  • Reconcile the monthly services account.
  • Monitor income and expenses as requested by the General Manager and Events & Customer Experience Manager. Program Delivery Support and Client Relationships.
  • Assist in the coordination of logistics, scheduling for production activities.
  • Liaise with internal and external stakeholders to ensure effective communication and coordination.
  • Support staff in on-going communication and engagement with key stakeholders including the Board, patrons, donors, artists and staff.
  • Assisting the Executive team to schedule key internal and external meetings.
  • Create and manage pre/post show emails including audience surveys.

Reporting

  • Coordinate and execute reporting requirements for grant-funded projects, including financial and narrative reporting.
  • Maintain accurate records of grants, funding sources, and reporting schedules.
  • Maintain accurate records of donations and donors. Other Duties
  • Proactively uphold and advance DTC’s Access, Equity and Inclusion goals to develop DTC as a safe space for all workers and ensure that DTC is accessible for all communities.
  • Prioritise safety procedures across all activities. This includes physical, cultural, emotional and mental health, as well as COVID-19 mitigation.
  • Other duties as specified by the Executive & Acting Artistic Director.

ABOUT YOU

To thrive in this role, you will have excellent communication skills with the ability to organise and convey information clearly and concisely. We are looking for a candidate with a strong work ethic, positive attitude, and a passion for supporting DTC’s growth.

Essential attributes and experience

  • Minimum one year experience in an administrative or office management role including, for example, experience in record management, maintaining databases, liaising with suppliers and preparing reports.
  • High level of proficiency in Excel, Microsoft and Google Workspace.
  • Proactive and self-motivated with the ability to take initiative and multitask effectively in a busy environment.
  • Confidently adapt to changing priorities and manage unforeseen situations with pragmatism and professionalism.
  • Exceptional communication and organisational skills with a keen eye for detail.

Desirable attributes and experience

  • Demonstrated interest in arts and/or culture.
  • First Aid and/or Mental Health First Aid certificate.
  • Experience in managing relationships with artists and/or patrons.
  • Experience using the TicketSearch ticketing platform or similar ticketing platform(s).
