  • Type of Position: Part time - 22.8 hours or 3 days per week, 12 month contract (with a view to extension subject to funding)
  • Salary: SCHADS Award Level 4: $74,172.28 - $79,807.52 + super, pro rata. Salary range is the full time equivalent, part time salary will be pro rata. Salary range may differ slightly depending on the SCHADS Award Level 4 pay rates in your state.
  • Location: Any capital city in Australia
  • Reporting: This role reports to the National Director
  • Commencement: Negotiable start date in November 2021

ABOUT US

Democracy in Colour is building the power of people of colour to organise around the issues that affect us most. For migration with dignity, for great public and community services, and for diverse and accurate journalism. We are led by and for people of colour (multicultural, migrant, refugee and asylum seeker, and non-white people).

Our current staff are based in: Adelaide, Melbourne, and Sydney. You can be based in any capital city.

OUR MAJOR PROJECTS FOR 2022

  • Launching a national campaign around Migration with Dignity, so that every migrant has the security they need to build a life for themselves
  • Fighting hate speech in the media through our Hate is Not News campaign
  • Running our People of Colour Placement program: where 15 jobs have been created for People of Colour trainees from across the social justice sector
  • Launching our People of Colour mid-senior level Placement Program that to change the way that decision making happens in the climate movement, and ensure that the voices of the people most affected by climate change are the ones leading the fight
  • Running a suite of anti-racism trainings throughout the year

KEY RESPONSIBILITIES

The Admin and Supporter Services Coordinator will work across Democracy in Colour’s training programs and provide general administrative support. You’ll have a particular focus on delivering our People of Colour Placement Program alongside our Training Lead. You will provide logistics and event support, and support the National Director with a broad range of administration and tasks, as they arise.

  • Training and event coordination: including liaising with venues, managing registration, writing runsheets and coordinating volunteers at an event.

  • Participant logistics: including sending welcome packs, taking RSVPs, conducting interviews, managing dietary, access, and other requirements, and responding to inquiries.

  • Digital systems and data management: we use Xero, Google Drive, Slack, Stripe, Wordpress, and Action Network

  • Scheduling meetings and workshops: for staff, training participants, and volunteers

  • Booking travel: for training attendees and staff

  • Monitoring general enquiries and supporting donors to update their details, make donations, cancel donations, and answer any queries.

  • Provide administrative support to the Board: by scheduling meetings, drafting agendas, compiling meeting papers and recording minutes.

  • Financial administration tasks such as depositing cheques, filing receipts, and statutory reporting, as needed.

  • Develop, manage and maintain effective systems for correspondence, information and documentation

  • Basic web page and social media copywriting and updates

KEY SKILLS

  • Strong attention to detail and organisational skills including the ability to document processes for easy access and future reference.

  • Effective time management: the ability to multitask, plan ahead and preempt project milestones, ensuring follow-up.

  • Ability to make data-driven decisions and recommendations.

  • Strong problem solving abilities including the judgment to escalate challenges to the Director when necessary.

  • Strong communications skills including the ability to convey messages to team members, external stakeholders, contractors, and volunteers.

  • Ability to schedule and coordinate meetings and conduct interviews for our training programs.

  • Systems-focused: Updates, tracks and takes accountability for relevant systems relating to donors, volunteers, and content management.

THE DAY-TO-DAY

Democracy in Colour is a growing organisation that’s scaling up fast with ambitious plans to work at a scale that’s in line with the challenges we face. You’ll join a small staff team that is committed to finding, testing and pushing the envelope for people-driven change.

Most of your meetings will be on Zoom or over the phone, you’ll work with the team on shared online documents and you’ll be comfortable keeping yourself on track and organised in between.

A month in your role could include:

  • Working closely with the Training Lead and independently overseeing the logistics and engagement for our People of Colour Placement programs (training)

  • Sending welcome packs to 15 participants in our Community Organising Fellowship

  • Checking in with training participants to make sure they have the tech they need to attend a remote training

  • Setting up the web pages (basic-intermediate online skills) for an upcoming Anti Racism training

  • Ensuring our People of Colour Placement Program participants, volunteers, and staff feel connected to one another, no matter where they are on the continent.

  • Scheduling and sending calendar invites to expert presenters for an upcoming Placement Program workshop

  • Debriefing at our monthly staff wellbeing sessions

  • Enjoying the company of our supportive and inclusive team at our fortnightly virtual afternoon teas

  • A regular update of our database to de-duplicate records and update contact details to make sure we’re reaching the people we need to

  • Supporting the National Director on administrative tasks including: compiling board papers, taking minutes at the board meeting and organising meeting dates and logistics.

  • Comfortable with technology: you’ll engage with different online systems (Google Drive, Zoom, Slack, Xero, Wordpress and social media channels)

  • Passionate about tackling racial and economic injustice

  • Lived experience of the issues our communities are dealing with - like racism.

  • Independent: you’ll be working with your manager to set goals and managing your own time and self-direction in between check-ins

  • Grassroots movement focus: you know how important it is for members to be at the forefront of our movement.
