Our Client, The Northern Schools Early Years Cluster Inc. is an Early Years Management group based in the municipalities of Hume, Merribek, Macedon Ranges and the City of Melbourne. The organisation commenced operation in 2011, managing 5 kindergartens on school sites and now manages 17 early years services of which 15 are co-located on school sites. They are an innovative and unique Early Years Management organisation that sets the highest standard of professionalism in early years education and care in partnerships with schools.

They are now looking for an experienced Executive Assistant who will be responsible for the smooth operation of the CEO office in a dynamic and rapidly growing NFP organisation. Reporting directly to the CEO, the position provides high level executive and administrative support to the CEO and the board of Directors and involves confidential, high-level information as well as engagement with members of local and State Government, the NSEYC Board, the Executive Principals group and a broad base of community stakeholders. This is a diverse, hands-on role which requires professionalism, flexibility, excellent communication, energy and a high attention to detail.

You will also:

  • Provide extensive calendar management for the CEO. Prioritise inquiries and requests whilst troubleshooting conflicts.
  • Complete a broad variety of administrative tasks that facilitate the CEO’s ability to effectively lead the organisation, including compiling documents, reports and presentations and collecting and preparing information for meetings with staff and outside parties.
  • Act as a liaison and provide support to the Board of Directors. Arrange and handle all logistics for Board meetings and events, schedule meetings, draft agendas, develop, compile, and distribute presentation materials and record meeting minutes.
  • Provide administrative support to help run the NSEYC head office, including meeting and event management support as requested.
  • Being a community-based not-for-profit organisation, duties may be varied and changeable and a positive can-do attitude is a must.

The successful candidate will possess exemplary administrative skills, including proven ability to take minutes, be highly organised, detailed, and diplomatic, possess excellent people skills, have a friendly disposition and can multi-task very well. You will have previous experience working as an EA/or PA to a CEO or senior executives and can work to deadlines. You know how to always maintain a professional demeanour and can deal with a diverse group of stakeholders from the Board to employees to community leaders and families. Your previous experience working in the not-for-profit sector will also be highly regarded.
