Your Impact

As an Executive Assistant, you will report directly to the General Manager Corporate Services and work collaboratively with the EA to the CEO to provide high-quality support to the Foundation House executive leadership team.

This dynamic and rewarding role will primarily support our team of four Foundation House General Managers: General Manager Mental Health & Wellbeing, General Manager Practice Excellence, General Manager Community & Sector Capacity Building and General Manager Corporate Services. The EA may also provide support to the Chief Executive Officer (CEO), the EA to the CEO and provide back-up administration support where required.

Your work will directly contribute to the success of Foundation House in achieving our purpose of being a leader in delivering specialist trauma-focused services that work with the strengths and resilience of refugees, their families, and communities to rebuild lives shattered by torture and other traumatic events.

The Role

This part-time (0.6 - 0.8 EFT) EA role will see you responsible for diary and inbox management, appointment coordination, travel planning, communication support and other secretarial duties supporting our GM’s.

Relationship management with a diverse range of key stakeholders is a key component of this position, as is the strategic assessment and prioritisation of important issues related to the General Managers workload and organisational needs.

Key responsibilities include:

  • Diary and inbox management, coordinating and prioritising urgent requirements and appointments.
  • Drafting, formatting and distributing correspondence, including emails, reports, presentations, briefings and communications.
  • Supporting positive and effective relationships with a wide range of internal and external stakeholders including colleagues, management, board members, clients and their communities, government representatives and departmental staff, sector leaders and representatives.
  • Assisting with planning and implementing organisational events and activities.
  • Coordination of ad hoc and scheduled executive and Board meetings by preparing agendas, briefing papers, taking minutes, following through on action items, organising catering and managing room bookings.
  • Supporting organisational communication initiatives.

What you’ll need to successfully apply

To be successful, you will need to positively respond to the below selection criteria:

  • Tertiary level and/or Business Administration qualifications would be advantageous, but not a requirement.
  • Demonstrated Executive Assistant experience, supporting a CEO and/or senior leadership team with an understanding of executive team functioning.
  • Excellent communication skills, both written and verbal, with the ability to liaise and build rapport with a diverse range of stakeholders at all levels.
  • Ability to prepare high quality and well-designed documents, including general correspondence, reports, meeting minutes and presentations with a strong attention to detail and excellent document formatting and document management skills; high proficiency in MS Word, PowerPoint and Adobe.
  • High level organisational skills – planning, coordination, priority setting, task management and follow through.
  • A commitment and values alignment to the purpose of Foundation House.
