Overview of the Position

The Finance Facilitator role is to assist the CEO in facilitating the financial needs and position of the Centre. This role works directly with the Centres CEO to provide support, insight and guidance on the Centres financial needs, financial position and related financial tasks.

  • Experience in community legal centres or not-for-profit organisations operating under a funded structure.

Duties of the Position

To provide the following quality services:

  • Monthly review of the Centres budgets vs actuals
    • Each month, review the Centres budgets vs actual reports and provide guidance to the CEO on the Centres monthly income and expenses. This analysis of the monthly reports will assist the CEO in understanding areas of the Centre which are an overspend, under spend or progressing as budgeted.
    • Adjust the budget as needed after analysis of the monthly reports to ensure the Centre has an active and accurate live budget to reflect all income and expenses.
  • Attend Management Committee meetings to provide a report on the Centres financial position
    • Prepare a financial report for the Centres Management Committee meetings, outlining the Centres financial position as at that time.
    • Attend the Management Committee meetings during the allocated time for the financial report to be discussed, to be available to answer questions or provide further insights or clarification for the Committee
    • Work with the Centres Treasurer as needed.
  • Facilitate financial obligations of the Centre
    • Assist the CEO and bookkeeper in the Centres annual audit process by way of facilitating the audit communication between auditor, bookkeeper and CEO to ensure the Centers audit is completed in an accurate and timely way.
    • Assist the bookkeeper in completing quarterly funds report to the Department of Justice and Attorney General on the Centres funded income and expenses.
  • Budgets
    • Work with the CEO and bookkeeper to generate budgets as needed, for example in the instance of additional funding to the Centre
    • Work on monthly live budgets with the CEO and bookkeeper as mentioned above in (1b)
  • Financial analysis
    • Provide advice to the Centres CEO on any suggestions or insights on the Centres financial position to assist the Centre be in the best financial position available.
  • Bookkeeper and payroll support
    • Work with the Centres external bookkeeper to facilitate financial needs of the Centre, for example but not limited to answering financial queries, assisting gather necessary documentation, assisting in payroll support etc.
  • General Duties
    • Ensure compliance with the requirements of professional indemnity claims prevention procedures and insurance requirements, and undertake miscellaneous administrative duties for the purpose of professional indemnity and insurance requirements.
    • Have a comprehensive knowledge of GCCLC policies, procedures, guidelines and quality assurance standards as they may exist from time to time.
    • Co-operate with other staff members to assist with the smooth operation of the day-to-day activities of the organisation.
    • Undertake various computing, word processing and administration duties including typing, filing and photocopying from time to time as may be required for the efficient management of files.
    • Be familiar and able to use the database system CLASS and Actionstep
    • Undertake other duties as directed from time to time by the CEO.
  • Accountability and Reporting
    • To the Centre’s CEO on a day to day basis.

We are seeking an experienced financial facilitator to work with our CEO on managing, monitoring and reporting on the Centres financial position, including work related to budgets and funds reports.

The Centre is located in Southport, Gold Coast but this position is one that can be considered as a remote role / work from home due to the nature of the work and ability to communicate electronically.

We are seeking a financial facilitator to work with us one-day a week to carry out the duties as set out in the position description.
