Organisation Overview

Global Voices is an independent, youth-led and run, not-for-profit organisation with the mission to develop Australia’s future leaders in diplomacy, policy and advocacy through practical internationally-orientated experiences. Since our founding in 2011, we have supported over 350 young people to attend over 95 international summits. These summits range from official United Nations conferences, Y20 Summits, OECD, World Health Organisation, and World Bank meetings.

Position Outline

This is an exciting role for a passionate, self-motivated individual who is interested in global diplomacy and wants to gain experience leading delegations of young people to domestic and international conferences. The Delegations Manager is responsible for recruiting high performing individuals into our delegation cohorts, organising and coordinating the delegations themselves, leading the delegations to international conferences, and coordinating the Policy Fellowship program.

Global Voices is seeking applications from a young person (30 or under) who is able to contribute to a high performing team, mentor the Global Voices Policy Fellows to achieve high standards and outcomes, and work confidently to overcome unforeseen challenges.

Position Requirements

  • Australian citizen, permanent resident, or permanent humanitarian resident aged 30 or under
  • Be willing and able to commit to the flexible nature of the role, with additional outside office hours and weekends (up to 15 hours per week).
  • Be willing and able to travel to a 4-day Canberra Briefings program twice a year. Be able to travel to international conferences at least twice per year.
  • Be prepared to commit to the role for the entirety of the 2 year contract. Have your own laptop, smartphone and reliable internet.

Position Responsibilities

  • Managing the planning, administration and logistics as required of organising international delegations to multilateral events.
  • Building strong relationships with domestic and international stakeholders including other NGOs, Federal Government departments, senior government officials, diplomats and leading academics. Selecting high performing individuals for delegations, through managing the application process and conducting interviews.
  • Liaising with the relevant secretariats for each of our delegations, on matters such as logistics and accreditation, as well as organising travel and accommodation.
  • Coordinating the daily schedules of multilateral events, through organising relevant meetings and events in person or virtually.
  • Creating and contributing communications and marketing materials for the organisation's website, social media accounts, and broader publication.
  • Preparing summary reports and proposals for future conferences.
  • Mentoring and motivating delegates to maintain a high level of involvement that meets the high standards of Global Voices.
  • Providing multiple rounds of high quality feedback on a tight timeline for media, blog and policy written by delegates.
  • Assisting the organisation with various administrative functions, as required.
  • Staying informed of the latest political, diplomatic and academic developments in areas related to the delegations you are managing at the time.

Key Selection Criteria

Excellent written and verbal communication skills:

  • Ability to prepare letters, emails and reports using clear, concise and grammatically correct language.
  • Able to tailor communication styles according to audience and competently present program information to stakeholders.

Excellent interpersonal skills:

  • Ability to develop and manage relationships with key stakeholders and work efficiently and professionally in a small team environment

A high degree of emotional intelligence:

  • Ability to pick up on subtle communication cues, communicates effectively to achieve desired outcomes, actively listens, is able to have difficult, yet constructive, conversations when required

Demonstrated leadership skills:

  • Experience providing mentoring and creating opportunities for young people, especially on the world stage is highly desirable

Excellent public policy knowledge:

  • A well developed ability, or ability to drastically and independently up-skill, to mentor young people in policy development
  • A strong understanding, or capacity to drastically and independently up-skill, in domestic and international relations

Strong organisation and time management skills:

Ability to manage competing priorities and deadlines and to confidently adapt to changing circumstances

Project management skills:

  • Demonstrated experience displaying initiative, ambition and vision, with the ability to work independently to achieve project outcomes

Other Criteria:

  • A willingness to learn and further develop skills and experience, by seeking out, accepting, and implement constructive criticism and recommendations for improved outcomes
  • Willingness to ensure delegations’ and individuals’ compliance with all organisational health and safety programs and requirements.

Shortlisted candidates may be invited for an interview before applications close. The successful applicant will be subject to a 3-month probationary period and will work closely with the other Delegations Managers, CEO, and Executive Team to ensure all aspects of the role are handed over successfully.
