The Goodes O'Loughlin Foundation Limited (the "GO Foundation" or "GO") was founded by Sydney Swans Legends, Adnyamathanha and Narungga man Adam Goodes and Kaurna and Ngarrindjeri man Michael O'Loughlin whose names are synonymous with integrity, equality, opportunity and strength in culture. The GO Foundation provides scholarships to Indigenous students in primary school, high school, and university. Key Responsibilities

1. Managing CEO Administration

  • Be the right hand to our CEO, providing executive support across finance, travel, email inbox, and calendar management.
  • Welcome guests, set up meetings, and handle catering to create a professional and welcoming environment.
  • Draft papers and letters for key stakeholders, showcasing our mission and impact.

2. Assisting Team / Office

  • Support the Leadership team with projects and administration
  • Anticipate and meet the logistical and administrative needs of our passionate team.
  • Oversee the operational activities of our office, from stock management to mail coordination and office maintenance.
  • Play a key role in HR processes, including onboarding and managing MyHR system.

3. Managing All Staff, Founders, and Board Travel

  • Coordinate seamless travel arrangements and approvals, ensuring smooth journeys for our team.
  • Handle travel bookings, payments, and reconciliations with precision and efficiency.

4. Point of Liaison for Project Rollout and Database/Systems Management

  • Support our IT systems, especially Salesforce, and liaise with Managed Services providers.
  • Ensure our records and databases are accurate, accessible, and efficiently managed.
  • Drive improvements in record storage processes across platforms like SharePoint and intranet.

5. Ad Hoc Tasks as Required

  • Be a versatile team player, ready to assist with broader team projects and programs.
  • Support the Events Manager in coordinating memorable internal, external, and GO Scholar events.
  • Contribute to our communications strategy by developing and sharing engaging social media content.

6. General & BAU

  • Deliver exceptional customer service in person, via telephone, and email.
  • Manage incoming inquiries, prioritise messages, and coordinate responses to keep everything running smoothly and on track.
  • Support governance meetings, preparing materials, agendas, and minutes.
  • Assist with routine financial transactions, procurement, and payments, ensuring compliance with policies.

Capabilities and Experience

  • Strong Organisational Skills: Ability to manage multiple tasks, prioritise effectively, and maintain attention to detail.
  • Excellent Communication Skills: Proficiency in drafting documents, managing emails, and coordinating with various stakeholders.
  • Executive Support Experience: Previous experience providing high-level administrative support to senior executives, including calendar management and meeting preparation.
  • IT Proficiency: Familiarity with IT systems, particularly Salesforce, and experience managing databases and records adventagous
  • Problem-Solving Skills: Ability to anticipate needs, identify issues, and implement effective solutions.
  • Customer Service Orientation: Strong interpersonal skills and a commitment to providing excellent service to internal and external stakeholders.
  • Event Coordination Experience: Experience supporting the planning and execution of events.
  • Financial Acumen: Understanding of basic financial processes, including payment reconciliation and procurement.
  • Adaptability: Willingness to take on a variety of tasks and adapt to changing priorities.
  • Cultural Awareness: Sensitivity to and respect for cultural diversity, particularly in relation to Indigenous communities.

You will be the face of the GO office, so this role will require you to be in our amazing office in Moore Park full time. Experience in office administration, executive support, and familiarity with IT systems like Salesforce will be advantageous.
