ABOUT THE ROLE

As a Gotcha4Life Program and Engagement Coordinator, you will play a crucial role in the planning, coordinating, and delivering programs and initiatives, working as part of the programs team. This role involves engagement with local community organisations, schools, and sporting clubs and associations, and supports the monitoring and nurturing of relationships with program participants and stakeholders. The coordinator also supports events, ensuring seamless execution and effective communication.

HOW WE WORK

The Program and Engagement Coordinator role is a part-time position (0.75 FTE), primarily based in Sydney but consideration will be given to candidates outside the area. We have a hybrid approach to work that continues to evolve as we respond to what is best for our team, and the people and communities we serve. Currently, we come together as a team at our Sydney CBD office to connect and collaborate 2 days a week and on other days, the team has the option to work remotely.

We are a small and passionate team, driven by making a positive impact on schools, sports and regional communities. Not-for-profit Salary packaging options (Up to $18,550 annually) are also available.

KEY RESPONSIBILITIES

Planning & Coordination of Activations and Program Delivery:

  • Assist the Programs team in organising the logistics and delivery of programs.
  • Coordinate the scheduling of rural/remote community delivery.
  • Input and manage program impact data, including surveys and feedback.
  • Ensure all program materials and resources are prepared and available.
  • Ensure the high quality of program delivery through cross-team collaboration, on-the-ground coordination, and facilitating feedback loops regarding program logistics and quality.

Engagement with Local Organisations, Schools, Sports Clubs & Community Groups

  • Develop and maintain strong mutually beneficial relationships with community stakeholders - schools, sports clubs and associations, and small businesses, ensuring we understand their needs, to ensure the greatest impact through our programs.
  • Support reaching out to build relationships with local entities to promote and implement Gotcha4Life programs, including cold calling and identifying new leads.
  • Travel within NSW/ACT, including regional and remote areas and interstate when required, to meet with key stakeholders, engage communities, and help deliver programs.

Community Engagement Coordination:

  • Support and assist with any program delivery requirements during and after events - including post-community initiatives.
  • Liaise with stakeholders, including donors, sponsors, and community partners. Coordinate digital program delivery, ensuring technical and logistical aspects are managed.

Monitoring and Following Up:

  • Track and follow up with program participants using our customer journey framework via HubSpot and other CRM tools.
  • Maintain an updated and organised database of leads and contacts.

Evaluation and Impact Reporting:

  • Compile and analyse program data, insights and stories to prepare monthly and quarterly reports.
  • Report on the progress of programs, engagement metrics, and event outcomes.
  • Provide insights and recommendations for program improvements based on data.
  • Proactively evaluate and adapt processes where necessary as we scale and content develops.

ABOUT YOU

Educational Background:

  • Bachelor’s degree or higher in education, community development, event management, or a related field.

Experienced Coordinator:

  • Minimum of 2 years experience in program coordination, community engagement, or a related field.

Passion for Mental Fitness:

  • Energy for building mental fitness through innovative, evidence-based initiatives and a desire to make an impact in educational settings.

Strong Organisational & Relationship Skills:

  • Proven track record of excellent stakeholder engagement and relationship development, and facilitating positive interactions between stakeholders.
  • Demonstrates exceptional organisational skills, ensuring that tasks are prioritised, deadlines are met, and resources are effectively managed.
  • Excels at juggling multiple responsibilities simultaneously without compromising on quality or efficiency.
  • Capable of handling various tasks, planning, and administrative duties, while maintaining a high level of productivity and attention to detail.

Excellent Communication and Interpersonal Abilities:

  • Demonstrates outstanding verbal and written communication skills, enabling clear and effective transmission of ideas, instructions, and feedback.
  • Able to convey information in an understandable manner, engage in active listening, and facilitate meaningful discussions.
  • Skilled at establishing rapport and trust with colleagues and stakeholders, fostering a supportive and inclusive environment.

Proficiency in CRM Tools:

  • Proficiency in Hubspot and Google Suite is highly desirable.

Cultural Competence:

  • An understanding of working in diverse communities, including but not limited to First Nations, BIPOC, culturally and linguistically diverse people, and LGBTQIA+ people.

Additional Requirements:

  • Current Working with Children Check
  • Mental Health First Aid Training or willingness to obtain one within one (1) month of starting the role.
