Greenfleet was Australia’s first carbon offset provider. Since 1997 we have planted over 10.8 million native trees to create 550 forests in Australia and New Zealand.

Greenfleet forests are legally protected for up to 100 years and address critical deforestation, remove carbon to protect our climate, improve water and soil quality, conserve biodiversity, and restore vital habitat for native wildlife.

The Opportunity

We have a fantastic opportunity to join our growing team as an Administration Officer. While this role reports directly to our Finance Manager and sits within our Operations team, the position works and supports all divisions of our business to ensure the successful and smooth running of Greenfleet. This position provides lots of variety where no two days will be the same. Our ideal Administration Officer is passionate about the environment and keen to make a difference.

Greenfleet is on an exciting growth journey and looking for like-minded people who can help us build and develop. This role is based across both our Flinders Lane office in Melbourne as well as work from home – specifically we are currently spending Mondays and Wednesdays in the office and the remainder of the week from home. All this plus a competitive remuneration package.

Key Accountabilities Include:

  • Providing administrative support to ensure efficient operations across multiple teams.
  • Answering all phone, email and mail enquiries.
  • Assisting with filing, templates, and forms.
  • Undertaking projects and conducting online research
  • Supporting and performing administrative requirements for various committees.
  • Coordinating booking of travel, catering, events, and meetings as required.
  • Data entry and administration of company databases.
  • Managing office supplies and services.
  • Preparing regular financial and administrative reports.
  • Maintaining and updating company databases.
  • Work closely with the Revegetation Team to ensure management system procedural compliance, including OHS and quality management.
  • Assistance with agreements and legal compliance.
  • Contribute to the development and continuous improvement of the Greenfleet revegetation business.
  • Communicate with external stakeholders, landholders and contractors as required.

What You Will Bring:

  • 1-3 years in similar administration-based role
  • MS Office proficiency, in particular Office365 – intermediate level required with a willingness to develop further skills.
  • Experience with accounting software, ideally Xero or similar system.
  • Ability to learn and master systems quickly. In particular, knowledge of Salesforce, Trello, Precoro, EFTSure or FastFields is highly regarded but not essential.
  • Excellent interpersonal and communication skills, with fluency in written and verbal English.
  • Ability to multitask, be well-organised, and work productively within a team environment.
  • Outstanding organisational skills including the ability to manage and prioritise multiple concurrent tasks, meet tight deadlines and to work in an independent, flexible manner where required.
  • Inquisitiveness, initiative, and innovative thinking.
  • Ability to maintain and respect confidentiality of the highest order and a high level of personal integrity.
