At our core, the Groundswell community funds climate action to keep fossil fuels in the ground and accelerate a just transition to a decarbonised world. In addition to grant making, Groundswell runs a renowned climate fellowship program for philanthropic, business and cultural leaders working to change the game on climate this decade.

ABOUT THE ROLE

Working in a fast-paced, tight knit team, the Administration and Events Officer plays a critical role in delivering Groundswell’s mission of funding and powering strategic climate action. We are a small team so this role will work across most areas of Groundswell’s operations including events, grants and community management. The Administration and Events Officer will work most closely with Groundswell’s CEO.

Responsibilities include:

  • Providing administrative support to the Groundswell team and Board.
  • Supporting the CEO with key relationship management including with stakeholders across Groundswell's community such as donors, members and grant recipients.
  • Supporting the delivery of both large and small scale events, including all aspects of events management from logistics, guest list, suppliers, and managing the budget.
  • Collating information for communications and reporting, including to members and donors.
  • Organising and updating Grounsdwell’s member database, including overseeing the member journey and responding to member queries.
  • Coordinating Groundswell’s grant rounds, organising the logistics for shortlisting meetings, including circulating information and coordinating the shortlisting committee.

ABOUT YOU

You enjoy working in a fast-paced environment, and being challenged with a variety of different tasks in your work. You work well under pressure and bring a positive attitude to your role. You have at least 3 years experience in administration and / or events, and have managed budgets and CRMs. Experience in fundraising is highly regarded.

The core competencies for this role are:

  • High attention to detail - you don’t let things slip through the cracks and always double-check the small details whilst still keeping the big picture in mind.
  • Organisation skills - you are highly organised and confident in prioritising tasks and balancing competing priorities. Even when there’s lots going on, you have systems and processes to make sure that all tasks are on track.
  • Database management skills – you are highly proficient in data management, ideally with experience with CMS.
  • Communication skills - you have strong written and verbal communications skills and can communicate clearly with a variety of stakeholders, using the appropriate tone for the audience.
  • Collaboration - you are highly collaborative and enjoy working with internal and external stakeholders to achieve the best outcomes.
  • Initiative, problem solving and flexibility - you are proactive in identifying opportunities and take the initiative to solve problems as they arise. You don’t let a change of plans throw you and can pivot when the situation calls for it.

DETAILS

This is a minimum 3 days per week position, flexible and negotiable for the right candidate. Hybrid with office time in Paddington, Sydney.

Base salary $80–90,000 pro rata for part time plus superannuation.
