The Harding Miller Education Foundation (HMEF) is an Australian charity providing academic scholarships to high-potential girls in Australian government high schools who are experiencing hardship or disadvantage. Established in 2016, we currently support 695 students across 320 schools across Australia and we are growing.

About the Role

We are looking for a highly-organised person with strong attention to detail who enjoys working autonomously and gets satisfaction from ensuring all details are correct as well as supporting our stakeholders with any queries they may have as they call. Well-developed communication skills are a must.

The Administrative Assistant will work within our tight-knit Scholarship Program Team and be responsible for managing the weekly tutoring invoice approvals for our scholars – a key tool provided in their scholarship, answering the phone, uploading data to our CRM, ongoing data cleansing, and other administrative project-based tasks as required throughout the year.

This is a permanent part-time role, 20-hours per week with flexibility on which days are worked, however, Thursday is a must due to our invoice approval deadlines.

In this role, you will be responsible for:

  • The weekly tutoring invoice approval process
  • Monthly data uploads to our CRM for all our scholarship tools
  • Answering incoming phone calls and email enquiries
  • Completing project-based tasks throughout the year, such as Awards Night administration support, checking and qualifying applications, checking annual surveys etc.
  • The office’s postage supplies and activities
  • Ongoing CRM data cleansing
  • Being a back-up for enrichment activities.
  • Communicating regularly with our scholars
  • Other admin duties to support the Program Team as required

To perform this role, you will have proven experience in an administrative role, experience with database management and data reconciliation, be comfortable answering phone calls and communicating with teenagers!

The successful applicant will be required to apply for and receive a Working With Children's Check and a National Police Check.

  • Experience working in a not-for-profit environment.
  • Experience working in the Australian education system.
  • Experience working with high school students.

Required Competencies

  • Word processing and Microsoft Office – Word, Excel & PowerPoint
  • CRM (Microsoft Dynamics) software knowledge or the capacity to quickly learn
  • Online tools including Award Force, Canva, Google Forms and Mail Chimp or the capacity to quickly learn.
  • Typing skills
  • Interpersonal skills

Benefits and Perks

Depending on your experience, we will be offering a base salary of between $50,000-$60,000 per annum (pro-rata) - plus super - plus FBT benefits - for this role.

Australian taxation laws provide generous tax concessions for not-for-profit organisations like Harding Miller Education Foundation. One such concession is an exemption for Fringe Benefits Tax (FBT). This means a proportion of your wages can be received as a reimbursement of personal expenses and no income tax is payable on this money. You can package up to the allowable amount of $15,900 each FBT year.

Remuneration will be commensurate to the successful candidate’s experience.
