This is an exciting period of growth for Ethical Clothing Australia. As the Project Officer – Events, you will develop and execute a comprehensive events calendar designed to elevate ECA’s mission and increase brand awareness of the accreditation program. Working with the support of the Operations Manager and in consultation with key staff, you’ll create and deliver impactful networking opportunities, activations, panel discussions, and training and education sessions. These events will be tailored to engage a broad audience, including accredited businesses, the general public, fashion industry stakeholders, government representatives, civil society organisations, private sector entities, and educational institutions.
In this role, you’ll lead the planning and execution of our annual, nationwide event, Ethical Clothing Australia Week, coordinating ECA-led events and supporting accredited businesses as they host their own. Additionally, you will proactively identify and capitalise on opportunities to enhance ECA’s brand presence by participating in external events.
Key Responsibilities
- Event Management: Project manage and deliver in-person and virtual events from end to end, including managing timelines, organising meetings, stand-ups, post-event wrap-ups, overseeing all project delivery elements within set time frames, and handling day-of troubleshooting.
- Logistics & Compliance: Organise venues and manage all event logistics, including facilities, decor, catering, entertainment, transportation, invitee list, special guests, equipment, promotional materials, health and safety compliance, and event budgets.
- Stakeholder Engagement: Build and maintain relationships with TCF businesses, government agencies, and unions, aligning their involvement in ECA’s events and initiatives.
- Manage key event relationships and identify suitable presenters, including representatives from accredited businesses and the Homeworker Code Committee, for events across Australia.
- Promotion & Marketing: Collaborate with the marketing team to amplify event awareness through tailored marketing collateral, ensuring consistent promotion aligned with ECA’s message. Support the development of event-specific marketing collateral and briefing notes for effective communication.
- Evaluation & Improvement: Apply quality monitoring, evaluation practices and reporting to all events to enhance outcomes and maximise impact. Embed these practices into all aspects of the events program, using insights to support ECA’s growth.
- New Event Opportunities: Proactively seek new opportunities for ECA’s involvement and promotion across Australia in industry programs and events. Conduct research to identify potential events, gather relevant information, and handle logistics and requirements for ECA staff participation.
- Presentation & Training: Deliver presentations, workshops, and training sessions to promote ECA’s mission and engage stakeholders.
- Proposal & Budget Management: Write proposals for approval, including scoped budgets, and manage budget execution and reconciliation to ensure financial accountability for events.
- Networking & Lead Generation: Attend industry and civil society events to represent ECA, foster connections, and generate new prospective business leads.
- Supporting Documentation: Assist in the development of briefing notes and required presentations to support events, ensuring all stakeholders are well-prepared and informed.
Key Selection Criteria
Required:
- Proven experience in a fast-paced environment with strong project management skills and the ability to handle multiple projects within timelines including delegating to other team members as appropriate and required.
- You have excellent planning and time management skills, with the ability to work independently within a small team while understanding organisational approval processes.
- Attention to detail, understanding programmatic work and identifying areas for improvement.
- Excellent interpersonal, written, and verbal communication skills to liaise with diverse stakeholders.
- Commitment to Ethical Clothing Australia’s values and goals, and a willingness to participate actively in team initiatives.
- Proficiency in Office Suite (Word, Excel) and familiarity with tools like Asana, Salesforce, Adobe, MailChimp, and SurveyMonkey.
- Willingness to travel and work occasional after-hours.
Desirable:
- Knowledge of the TCF or garment manufacturing industry in Australia.
- Experience with facilitation or training.
- Cross-cultural experience or ability to speak an additional language.
- Valid driver’s license.
