The Mission in Canberra is seeking a full-time (100%), permanent Administrative Assistant to work with ICRC’s team in Canberra and in collaboration with the Regional Delegation for the Pacific. This role is suited to someone who is looking for a long-term role with many opportunities for growth & education.

Administrative Assistant Job Responsibilities

  • Provides administrative support to ensure efficient operation of office.
  • Answers phone calls, schedules meetings and supports visitors.
  • Carries out administrative duties such as filing, typing, copying, binding, scanning etc.
  • Completes operational requirements by scheduling and assigning administrative projects and expediting work results.
  • Makes travel arrangements for staff such as booking flights, cars, and hotel or restaurant reservations.
  • Supports team by performing tasks related to organisation of events.
  • Ensures operation of equipment by completing preventive maintenance requirements, calling for repairs, maintaining equipment inventories and evaluating new equipment and techniques.
  • Maintains supplies inventory by checking stock to determine inventory level, anticipating needed supplies, placing and expediting orders for supplies.
  • Contributes to team effort by accomplishing related results as needed.
  • Ensures staff are briefed and/or trained on information management, written protocols and correspondence, rules on signatures and the protection, use and storage of office supplies, records management, archiving, and information-management tools; ensures they comply with related rules and procedures.

Education and Experience Requirements

  • High school diploma or equivalent education required
  • 2 years experience. 
  • Strong knowledge of MS tools.
  • Valid driver’s license

  • You will work from Monday to Thursday from 8.30am to 5.30pm and Fridays from 8.30am to 3.30pm, working flexibility can be negotiated.
