  • Reports to: Chief Operations Officer
  • Basis: Part-time 2.5 or 3 day per week
  • Location: Katoomba
  • Duration: Two-year contract, extension possible
  • Salary/wage range: $75,000-$82,000 ($37.96–$41.50 per hour) plus super, depending on skills and experience
  • Award: Clerks—Private Sector Award 2020 – level 3/4 (wage exceeds award rate)

Job Description

The Admin Officer is responsible for the administrative functions of the Invasive Species Council.

The Admin Officer reports to the Chief Operations Officer and is supported by a second part time Administration Officer, a Database Officer and a Bookkeeper.

Duties include:

  • Establish and maintain systems to support the efficient, effective and safe work of staff, contractors and volunteers.
  • Organise online filing and document management.
  • Oversee responses to public inquiries.
  • Oversee donation receipting and acknowledgements.
  • Support the functioning of the Katoomba office.
  • Ensure payment of invoices, membership payments, expense claims, subscriptions, insurance and other financial obligations and the provision of receipts.
  • Support incorporation, fundraising and charity regulatory compliance.
  • Support staff recruitment, induction and provision of equipment and software.
  • Recruit and supervise administration volunteers.
  • Maintain procedures, offer support and arrange training for the use of systems, equipment and software.
  • Coordinate and promote internal meetings and events.
  • Proactively contribute to the culture at ISC: a positive, fun, and value-driven culture within the team and ISC.
  • Other duties as determined by the Chief Operations Officer from time to time.

Selection Criteria

Essential:

  • Demonstrated experience in providing high level administrative support.
  • Excellent staff support and public liaison skills with a commitment to providing a high-quality standard of service.
  • Highly developed written, verbal and interpersonal skills.
  • Demonstrated ability to build positive working relationships.
  • Excellent time management skills and the ability to identify and lead improvements and efficiencies within a decentralised and fast-paced organisation.
  • Strong computer literacy skills with the capacity to work with cloud-based office systems such as Google Workspace, Dropbox, Xero, civiCRM, Mailchimp, FCM and Microsoft Office applications such as Word and Excel.
  • Proven ability to work autonomously and as part of team and to enhance positive workplace culture.
  • Willingness to travel to attend staff meetings including a twice-yearly all-staff gathering.

Desirable:

  • Qualifications in Business Administration or similar
  • Knowledge of Xero, CiviCRM, Mailchimp, FCM and cloud-based storage systems such as Google Workspace and Dropbox.
  • Detailed understanding of invasive species and conservation issues.

Location

The position is to be based at the Katoomba office. Working from home may be available at times.

About the Invasive Species Council

The Invasive Species Council is a non-government, donor-funded organisation that seeks to build a stronger, more collaborative biosecurity system that reduces the threat of invasive species to nature in Australia.

Invasive species have been the major cause of Australian animal extinctions since colonisation, and their threat is escalating as more invaders arrive, spread and interact with other threats. More effective prevention, eradication and control of invasive species is essential for the survival and recovery of thousands of threatened and declining species.

Formed in 2002, the Invasive Species Council is Australia’s only environmental organisation dedicated to strategically tackling this issue and has made numerous interventions that have reduced the environmental impacts from invasive species.

Over recent years we have:

  • Won major commitments from the incoming NSW government including 100 new pest and weed officers for National Parks in 2023.
  • Won increased investment from the federal government to tackle Yellow Crazy Ants and Gamba grass at the federal election in 2022.
  • Protected the Tasmanian Wilderness World Heritage Area from feral deer by securing a commitment in the Tasmanian government’s deer strategy to keep this area deer free.
  • Protected Queensland's Wet Tropics World Heritage Area from Yellow crazy ants which are now in retreat with an eradication program in place for the tropical far north in Cairns.
  • In 2021, protected Kosciuszko National Park from a growing plague of feral horses by winning a new NSW plan to actively manage feral horses from 14,000 to 3000 by 2026.
  • In 2020 secured $18M over 4 years in Victorian government investment for on-ground feral deer control as part of the new deer management strategy.
  • Played a major role in the establishment of the national office of environmental biosecurity.
  • In 2017 secured $411 million over ten years to eradicate red fire ants from south east Queensland.
  • Played a leadership role in promoting 2021-2030 as the Decade of Biosecurity.
